Inactive Sites Configuration Guide

Overview

Sites with end dates in the past are automatically marked as inactive and hidden from day-to-day operations while preserving all historical data.

Key Concepts

  • Inactive Sites: Sites with end dates in the past

  • Active Sites: Sites without end dates or with future end dates

  • "(Inactive)" Labels: Visual indicators throughout the system

  • Archived Sites Toggle: Interface control to view inactive sites

Setting Site End Dates

Basic Process

1. Go to Sites Module → Select site → Site Details

2. Enter Start Date and End Date

3. Confirm through the double confirmation dialogue

4. The Site automatically becomes inactive when the end date passes

Key Rules

  • End dates can only be set to today or future dates

  • Double confirmation required to prevent accidental closure

  • Site contacts receive automatic email notifications

  • Sites become inactive immediately when end date passes

System Behaviour

What Gets Hidden

Inactive sites are automatically hidden from:

  • New form creation

  • Supplier assignments

  • Worker registration

  • Live Access mobile app

  • Standard report filters

  • Most operational dropdowns

What Remains Accessible

All historical data stays available with "(Inactive)" labels:

  • Training records

  • Inspection reports

  • Documents and files

  • Risk assessments

  • Equipment assignments

Viewing Inactive Sites

Use the Archived Sites Toggle in the Sites Module:

  • Toggle OFF: Shows only active sites (default)

  • Toggle ON: Shows inactive sites with "(Inactive)" labels
