Overview

This guide covers creating and managing parent sites with child projects to organise complex, multi-phase projects effectively.

Prerequisites: Child Projects Configuration Guide - Feature must be enabled first

Understanding the Hierarchy

Parent Sites

  • Purpose: Main organisational container for the overall project

  • Contains: Shared resources, overarching timeline, cross-project coordination

  • Examples: Large developments, multi-phase infrastructure, campus upgrades

Child Projects

  • Purpose: Specific work phases or areas within parent site

  • Contains: Individual timeline, dedicated team, specific deliverables

  • Examples: Building phases, work areas, project stages

Parent Sites & Child Projects can be used in any number of ways. Other examples would be organising Sites (Projects) by Country or State.

Creating Parent Sites

Basic Steps

  1. Sites ModuleAdd New Site

  2. Enter parent site details:

    • Site Name: Descriptive name (e.g., "Metro Development Project")

    • Location: Primary project address

    • Start/End Dates: Overall project timeline

  3. Configure Staff and Site contacts for parent-level oversight

  4. Upload master-level Site documents (contracts, plans)

Converting Existing Sites

  1. Access existing site → Site DetailsEdit

  2. Update information to reflect parent status

When creating a new Project for an existing Site, please follow the steps below.

Creation Steps

  1. Navigate to parent site → Site DetailsProjects Tab

  2. Click Add Child Project

  3. Enter child project details:

  4. Select Save

Managing the Hierarchy

Projects Tab (Parent Sites)

Parent Sites include a Projects Tab showing:

  • Complete list of child projects

  • Project status overview

  • Quick access to child project details

  • Summary timeline information

Display and Navigation

Display Projects Toggle

Toggle OFF (Parent Site View):

  • Shows only parent Sites in lists

  • High-level project overview

Toggle ON (Child Project View):

  • Shows individual child Projects

  • Detailed project operations

  • Day-to-day management interface

Project Closure

Child Project Completion

  1. Set actual End Date

  2. Update Project Status to completed

  3. Complete Final Documentation

  4. Archive Files while maintaining access

  5. Reassign Resources to other projects

Parent Site Closure

  1. Verify all child projects are closed

  2. Complete Parent-level documentation

  3. Archive parent site, maintaining child access

  4. Final stakeholder communication
