Overview

After successfully registering your Enterprise (Starter) account, ComplyFlow guides you through a streamlined onboarding process to get you up and running quickly. This includes optional company branding, Dashboard orientation, and first-time feature exploration.


Welcome to ComplyFlow Screen

After completing registration (and email verification if applicable), you'll see the Welcome screen:

Welcome Screen Features

  • Confirmation Message: "Welcome to ComplyFlow! Your account has been created successfully"

  • Confetti Animation: Celebratory visual feedback

  • Continue Button: Proceed to optional setup steps

  • Account Ready: Your account is fully functional at this point

What Happens Next

  1. Optional Logo Upload: Add your company branding

  2. Site Addition: Add additional sites if needed

  3. Dashboard Introduction: Get oriented with key features

  4. Feature Exploration: Use guided onboarding tools


Optional: Company Branding Setup

The first optional step allows you to upload your company logo and add additional sites to your account.

Logo Upload Process

Upload Requirements:

  • File Types: WebP, JPG, JPEG, PNG

  • File Size: Maximum 2MB

  • Dimensions: Minimum 400px wide

Aspect Ratio: Recommended 400 x 120 pixels

Upload Steps:

  1. Drag and Drop: Drag image file to upload area, or click to browse

  2. Automatic Cropping: System displays cropping tool for proper aspect ratio

  3. Preview: See how your logo will appear in the system

  4. Save: Logo immediately applied to your organisation

Logo Management:

  • Remove & Redo: Clear uploaded logo and start over

  • Preview: See logo in context of ComplyFlow interface

  • Update Later: Logo can be changed anytime in Account Settings

Adding Additional Sites

Site Addition Features:

  • Up to 4 Additional Sites: Total of 5 sites maximum for Starter accounts

Adding Sites:

  1. Enter Site Name: Type site name in the input field

  2. Press Enter: Creates a new site entry (doesn't submit form)

  3. Multiple Sites: Add up to 4 additional sites beyond the default

  4. Remove Sites: Click X on any site tag to remove

  5. Character Limit: Each site name limited to 4 lines of text

Site Configuration:

  • Default Settings: Each site gets default location and settings

  • Account Owner Assignment: You're automatically assigned to each site

  • Site Configuration: Site details can be updated after onboarding

Completing Optional Setup

Finish Account Setup Button:

  • Save Changes: When selected the logo upload and creates additional Sites – you should see a message to let you know that "You're good to go"

Skip Option:

  • Continue Without Changes: Proceed directly to the Dashboard


Dashboard Introduction

Your ComplyFlow dashboard provides a central hub for managing compliance activities, with onboarding features to help new users get started.

"What Would You Like to Do?" Panel

Available Actions:

1. Invite My Team

  • Purpose: Add staff members to collaborate (up to 5 included)

  • Navigation: Opens Staff List with invitation slide-over panel

2. Invite My Suppliers

  • Purpose: Add contractors to track compliance requirements

  • Navigation: Opens Suppliers with invitation slide-over panel

3. Create an Inspection

  • Purpose: Start your first inspection using templates

  • Navigation: Opens Inspection module > Start Inspection screen

4. Report an Incident

  • Purpose: Create your first incident report

  • Navigation: Opens Incident module > Create Incident (Step 1) screen

5. Upload Site Documents

  • Purpose: Add documents for safety or compliance tracking

  • Navigation: Opens Sites module > Site Documents List > Upload files slide-over

All Actions Complete:

The Dismiss Panel Button: Appears when all cards have green checkmarks


Quick Add Dropdown

After onboarding, the Quick Add (+) button in the top navigation provides ongoing access to common actions for all Enterprise accounts (Starter and Pro).

Available Quick Actions

Staff User: Navigate to Staff List with invitation slide-over panel
Supplier: Navigate to Suppliers with invitation slide-over panel
Inspection: Navigate to Inspection module > Start Inspection screen
Incident Report: Navigate to Incident module > Create Incidents screen
Site/Project: Navigate to Sites module > Add new Site screen
Site Document: Navigate to Sites module > Upload files slide-over

Permission-Based Display

Module Restrictions:

  • Only shows actions for modules enabled in your organisation

  • Hidden actions for modules not included in your plan


Getting Started Best Practices

Recommended Onboarding Sequence

Week 1: Account Setup

  1. Complete Registration: Finish email verification or Microsoft SSO setup

  2. Upload Logo: Add your company branding for professional appearance

  3. Add Sites: Create entries for all locations you'll manage

  4. Invite Core Team: Add key staff members who need access

Week 2: Core Features

  1. Create Inspection Templates: Set up templates for routine inspections

  2. Test Incident Reporting: Create a test incident to understand the workflow

  3. Upload Key Documents: Add essential site documents and categorize them

  4. Invite Primary Suppliers: Add your main contractors and suppliers

Week 3: Advanced Features

  1. Explore Reports: Review safety statistics and compliance reports

  2. Configure Notifications: Set up email preferences for your workflow

  3. Train Team Members: Ensure staff understand their roles and permissions

  4. Plan Workflows: Establish processes for ongoing compliance management

Tips for Success

Start Small:

  • Begin with one or two sites to learn the system

  • Add features gradually rather than trying to configure everything at once

  • Use the onboarding panel to explore features systematically

Leverage Support:

  • Use the Knowledge Base for detailed feature explanations

  • Contact support early if you encounter issues

  • Join webinars or demo sessions to see advanced features

Plan for Growth:

  • Understand your plan limitations and upgrade timing

  • Consider which additional staff will need access

  • Plan site and template organisation for easy scaling
