Quick Start Guide: Selecting and Configuring an AI Agent for Form Questions

Overview

AI Agents automatically review and provide feedback on form question responses. This guide shows you how to set up an AI Agent and assign it to specific form questions.


Prerequisites

  • Module Access: AI Tools module must be enabled for your organisation

  • Permissions: Staff role with Organisation R/W permission

  • Form Type: You must have an existing form/permit type with eligible questions


Step 1: Navigate to AI Agents

1. Log in to ComplyFlow as a staff member.

2. Navigate to: AI Tools > AI Agents

3. Select Add Agent.


Step 2: Configure Basic Details

A. Use Existing Agent

Select Agent

  • Select from pre-built agents designed for specific tasks and workflows.


Step 3: Select Form Type

1. Click the Form Type dropdown

2. Select the permit/form type where this agent should be available (e.g., "Work Permit", "SWMS")

3. ℹ️ Each agent is specific to one form type


Step 4: Assign to Form Questions

1. The Form Question multi-select will populate with eligible questions from your selected form type → refer to Quick Start Guide: Eligible Question Types for AI Review

2. Select one or more questions that should use this AI agent

3. ✅ Only compatible question types appear (text inputs, text areas, file uploads)

Tips:

  • You can assign the same agent to multiple questions

  • Multiple agents can target the same question (users see one at a time)

  • Questions must be eligible for AI review (see Guide 5)


Step 5: Save Your Agent

1. Select Save Prompt/Agent

2. You'll see a success notification

3. The agent is now active and will appear for users completing the selected form question


Verification

To verify your agent is working:

1. Navigate to the form type you configured

2. Open a permit/form with the assigned question(s)

3. Fill in the question's answer

4. Look for the "AI Review - 3 Reviews Left" button below the question

5. Click to test the AI review


Managing Existing Agents

Edit an Agent

1. Go to AI Tools > AI Agents

2. Select Manage > Edit next to the agent

3. Make changes and select Save Prompt.

Delete an Agent

1. Select Manage > Delete next to the agent

2. Confirm deletion

3. ⚠️ This removes AI review capability from assigned questions.
