November 2025 System Release V1

Summary

This major system release delivers comprehensive improvements across Dashboard functionality, Forms module, Supplier management, Staff permissions, and Site Induction workflows.

The release resolves 30 issues including important fixes for form creation errors, document upload functionality, and inspection notifications, while adding important features like Dashboard site columns, supplier pre-qualification options, and enhanced email branding.

Dashboard

  • Site Information Now Visible in Dashboards - Staff and Contractor/Supplier Dashboards now display Site assignments in a dedicated Sites column. Users can quickly see which sites each person has access to without opening detailed views.

  • Daily Email Reminders for New Staff Requirements - Staff members now receive daily email notifications when new document categories or training requirements are requested from them. These automated reminders help ensure timely compliance by alerting staff to outstanding requirements, reducing the need for manual follow-up and preventing requirements from being overlooked.

Enterprise & Starter Accounts

  • Logo Upload and Site Creation Now Works in Account Setup - New users completing starter account registration can now successfully upload their organisation logo and add Sites in the "You're Almost There" step.

  • Microsoft Account Registration Flow Improved - When creating a free account using an existing Microsoft account, users now see the "Review Organisation" modal as expected, ensuring they can review and confirm organisation details before completing registration.

Supplier Management

  • Skip Pre-Qualification Option for Starter Accounts - Starter account users can now invite Suppliers without pre-qualification requirements using a new "Skip pre-qualification for this supplier" checkbox. When enabled, suppliers are automatically assigned to a "General (no requirements)" category, streamlining onboarding for low-risk contractors. This option is enabled by default for Starter accounts, making it faster to bring contractors onboard while still allowing full pre-qualification when needed.

  • Onboarding Forms Now Display in Supplier Compliance Tab - The Forms table in the Supplier > Compliance tab now correctly displays all onboarding forms and their statuses. Staff can now track form completion status directly from the supplier overview, improving compliance visibility.

  • Compliance Status Calculations Corrected - Fixed an issue where Supplier compliance statuses could become stuck or display incorrectly. A manual compliance check can now be triggered for specific organisations to refresh and correct status displays, ensuring accurate compliance reporting.

Staff Management

  • Staff Deactivation and Site Access Properly Synchronised - When staff members are deactivated or removed from Sites, their permissions and access are now correctly revoked across all system areas. Previously, archiving or deactivating staff could leave residual permissions or access records, creating security concerns. The system now ensures clean removal of all site-specific permissions when staff assignments change.

  • Inspection Permission Label Clarified - The inspection permission "Create, edit and Modify inspections/templates" has been updated to "Create, edit and Modify inspections" to accurately reflect what the permission allows.

Inspections

  • Inspection Notification Emails No Longer Fail - Fixed a critical error that prevented inspection notification emails from being sent when inspection items lacked priority assignments. The system now handles missing priority data gracefully and continues to generate PDF reports and send notifications successfully, ensuring staff receive inspection alerts without interruption.

  • Person Responsible Field Now Searchable - When assigning a Person Responsible for inspection items or actions, users can now search and filter the list of staff members instead of scrolling through long lists. This significantly improves usability for organisations with many Staff members, making it faster to assign the right person to inspection follow-up actions.

  • Missing Variable Error Resolved - Resolved an error where inspection template forms would fail to load due to an undefined variable. Inspection templates now open and function correctly in all scenarios.

Live Access - Site Induction

  • Site Induction Interface Redesigned - Site Induction management has been modernised with slide-over panels replacing modal dialogs, providing a cleaner and more intuitive editing experience. The interface better utilises screen space and aligns with current design standards.

  • Mobile Screen Guidance Added - When accessing Site Induction settings on small or extra-small screens (mobile devices), the system now displays a clear message directing users to use a larger screen for editing. This prevents frustration from attempting to edit complex induction content on unsuitable screen sizes.

  • Site Induction Records Access Restored - Fixed an issue preventing users from accessing Site Induction records in certain environments. The records section now loads correctly, allowing staff to review completed site inductions and track compliance.

Document Management

  • Document Upload Errors Resolved - Contractor admins can now successfully upload company documents that are requested across multiple organisations.

  • Document Upload for Project-Specific Categories Fixed - When document categories are triggered by project contractor category assignments, admins can now upload documents without encountering errors. The system properly handles the relationship between project assignments and document requirements.

  • Site Document Download Failures Prevented - Resolved ZipArchive errors that occurred when workers attempted to download site documents during login. The system now properly validates file paths and handles missing files gracefully, ensuring workers can access required site documentation without errors.

  • Document Request Tracking Improved - Fixed a null reference error in the document management system that occurred when loading contractor document lists. The system now properly handles all document category request scenarios, including missing or incomplete data.

Reports - Competency Matrix

  • Filter Description Corrected - The filter panel in the Competency Matrix report now displays the correct description "Apply filters to quickly search for Competency Matrix" instead of incorrectly referencing "Plants & Vehicles." This ensures users understand what they're filtering.

Workers Module

  • CSV Export Outstanding Training Fixed - The "Outstanding Training" column in Workers module CSV exports now correctly shows only incomplete or pending training requirements. Previously, completed and passed training would incorrectly appear in this column, creating confusion about which workers actually had outstanding training requirements.

System Performance & Stability

  • Contractor License Purchase Performance Improved - The license purchase process has been optimised by separating payment processing from invoice generation into distinct operations. This improves response time during checkout and ensures license invoices are reliably sent via email after successful purchase.

  • Organisation Manager Loading Performance Enhanced - Addressed slow loading times in the CF Admin organisation manager, improving page load speed and responsiveness when viewing organisation lists.

  • Data Table Pagination Error Resolved - Fixed an error where data tables would fail when receiving invalid pagination parameters (NaN values). The system now properly validates and handles pagination input, preventing crashes and ensuring stable table navigation.

  • API Access Method Error Corrected - Resolved a critical error where the system attempted to call a non-existent hasApiAccess() method on database query builders. This prevents crashes in API-related functionality and ensures stable operation.

  • Employee Invitation Code Processing Fixed - Fixed a null object error that occurred when processing employee invitation codes. The system now properly validates employee registration records before attempting to invalidate them, preventing crashes during the invitation workflow.

System Emails

  • Organisation Logos Now Appear in System Emails - System-generated emails now display the configured client organisation logo, providing better brand consistency and helping recipients identify which organisation the email is from. This applies to all automated notifications, improving the professional appearance of system communications.


Moodle LMS upgraded to version 4.5

Summary

In this release we have updated the the LMS used to power all of ComplyFlow’s Online Training.

Key highlights upgrading to version 4.5:

  • Complete UI redesign with modern, intuitive interface

  • New AI integration capabilities (text/image generation, content summaries)

  • Enhanced course organisation with collapsible sections and course index

  • Improved gradebook with categories and better navigation

  • Quiz enhancements (new question types, customisable numbering)

  • Assignment improvements (better submission management, automatic notifications)

  • Enhanced media integration (screen recording in editor)

  • Better navigation and accessibility

Additionally, we also made the following updates:

Mobile-Friendly Training by Default

✅ All new training courses are now accessible on mobile devices by default

  • Workers and staff can complete training on their phones or tablets

  • No additional configuration is needed when creating new courses

  • Existing courses retain their current settings

Simplified Course Layout

✅ New courses use the Single Activity format for a cleaner experience

  • Training opens directly to the SCORM package or quiz

  • No extra clicks to start training

  • Streamlined user experience for learners
