What This Guide Covers

This guide introduces you to the Incident Admin tools in ComplyFlow. You'll learn what these tools are, who can use them, and where to find them in the system.

Who Should Use These Tools?

These tools are for staff members who need to configure and customise how incidents are recorded in your organisation.

You will need permission to Create, Edit, and Manage Incidents (Incident Admin & Incident RW) permission to manage these settings. For more information, see Staff Permissions Overview

If you're not sure whether you have these permissions, contact your organisation's ComplyFlow administrator.

What Can You Configure?

As an Incident Admin, you can now manage seven key areas of your incident configuration:

1. Incident Sections

The building blocks that organise your incident forms into logical groups (like ‘Incident Details’, ‘Investigation’, or ‘Witness Information’).

2. Questions & Question Value

The actual questions that appear in your incident forms, including text fields, dropdowns, and conditional questions. Predefined answer options for dropdown lists and multiple choice questions can also be configured.

3. Incident Types

The classifications that determine what kinds of incidents can be reported (like ‘Near Miss’, ‘Property Damage’, or ‘Injury’).

4. Tags

Labels for categorising and filtering incidents for reporting purposes.

How to Access the Admin Menu

Follow these steps to access your Incident Admin tools:

1. Log into ComplyFlow with your staff account

2. Navigate to the Incident Module using the module picker

3. Select Admin in the left sidebar to expand the submenu. You'll see the seven configuration options listed above.

Important: The Admin menu only appears if you have the Incident Admin permission. If you can't see it, check your permissions with your administrator.

Before You Start Making Changes

Important Things to Know

1. Changes affect future incidents
Any configuration changes you make will apply to all new incidents recorded after the change. Existing incidents remain unchanged.

2. Test carefully
Before rolling out major changes, consider:

  • Testing with a small group first

  • Documenting your current configuration

  • Planning changes during quieter periods

3. Dependencies matter
Some configuration items depend on others. For example:

  • Questions need sections to appear in

  • Question values need questions to belong to

  • Deleting items may affect existing incident forms

4. Get help when needed
If you're unsure about a change or encounter issues, contact your ComplyFlow administrator or ComplyFlow support.
