Managing Online Training Courses

Purpose

This guide helps staff administrators create, configure, and manage online training courses in ComplyFlow.

Prerequisites

  • Staff account with training management permissions

  • Access to the Client portal

  • Account Owner or Staff/Worker Training management role(s)

  • SCORM package(s)

A SCORM package is a standardised, self-contained ZIP file containing eLearning content (HTML, media, etc.) that allows it to be easily shared and tracked across different Learning Management Systems (LMS)

Accessing the Training Module

1. Log in to the ComplyFlow Client portal

2. Navigate to Training from the main menu

3. You'll see the training course management dashboard

Creating a New Training Course

Step-by-Step Process:

1. Select Add Course on the training courses page

2. Fill in the required fields:

  • Course Name: Enter a descriptive name (e.g., "Site Safety Induction")

Course Configuration:

  • Expiry Period: Set how long the certification is valid:

    • Options range from 1 month to 10 years

    • Select No Expiry if permanent

3. For SCORM Packages:

  • Click Upload SCORM Package

  • Select your .zip file (max 50MB)

  • Wait for upload confirmation

4. Select Save Course

Success Indicators:

  • Training course created successfully message appears

  • Course appears in your training course list

  • Course ID is generated

Editing Existing Training Courses

1. Navigate to the Training Courses list

2. Find the course you want to edit

3. Select Edit > Edit Course

4. Make your changes:

  • Update course details

  • Modify expiry settings

  • Assign to Categories, Sites/Projects (as required) β†’ see Assigning Online Training

  • Upload new SCORM package

5. Select Save Course

Warning: Changing expiry periods affects all future completions but not existing ones

Managing Course Settings

Configuring Expiry and Alerts

  1. Expiry Period Options:

    • 1, 3, 6, 12 months

    • 2, 3, 4, 5, 10 years

    • No expiry (permanent certification)

SCORM Package Management

  1. Uploading a SCORM Package:

    • Ensure file is in .zip format

    • Maximum size: 50MB

    • Must be SCORM 1.2

  2. Previewing SCORM Content:

    • Select Preview next to the course name

    • Test the course flow

    • Verify completion triggers work

Viewing Course Details

1. Click on the course name or select View

2. You'll see:

  • Complete course information

  • List of assigned categories/projects

Course Status Management

You can check the status of your courses by going to Training > Report > Online Training Report.

Understanding Course Statuses:

  • Completed: Course finished and valid

  • Expired: Course completed but expired and must be retaken

  • Not Done: Course not yet completed

Need Help?

  • Course won't save: Check all required fields are filled

  • SCORM not uploading: Verify file is under 50MB and properly zipped

  • LMS sync failing: Check Course ID and integration settings

  • Can't see course: Check your permissions and organisation filter
