Live Access Sign-In Options: Confirmation Sets, Site Inductions and Site Documents

Introduction

Each sign-in point (location) at a site has its own QR code. When someone signs in, there are three ways to present site information: Confirmation Sets, Site Inductions and Site Documents. These work together and are configured per sign-in point.

What it is

Checkboxes the person confirms when signing in or out of a site. There are separate IN (sign-in) and OUT (sign-out) sets. All checkboxes are required before the user can progress

Induction content completed at sign-in, only when due: on first sign-in, when expired, or at configurable intervals. Completion is recorded

Documents assigned to the site, displayed and downloadable at sign-in

Who sees it

All sign-in types; shown to visitors when enabled for the sign-in point

Anyone signing in at a sign-in point with an induction assigned; shown to visitors when enabled

Staff and contractors only; not shown for visitor sign-in

How it's delivered

The IN set is presented as checkboxes during sign-in, and the OUT set during sign-out

Built from text or image sections (typically exported PowerPoint slides, A4 portrait), with the renewal interval set by the induction's expiry

Appears as the last step of the sign-in flow; view and download, with what was displayed logged in the Sign in Book PDF export

What you'd put in there

Conditions of entry, site rules, hazard acknowledgements; sign-out confirmations such as work area left safe

Site contacts, operating hours, parking, hazards, emergency management, restricted areas

Evacuation diagrams, asbestos registers, traffic management plans, site plans

One sign-in point can serve two user types. The site induction and confirmation sets assigned to it are delivered to contractors, and the visitor settings then control whether visitors are shown the same induction and confirmation sets. This means a single sign-in point and QR code can cover both contractors and visitors.

The sign-in flow

  1. Scan: the person scans the QR code at the sign-in point (or signs in via the Live Access app)

  2. Details: they complete the sign-in form fields configured for that location

  3. Induction: if an induction is assigned and theirs is missing or expired, they complete it before signing in

  4. Confirmation Set (IN): they tick the confirmation checkboxes; all are required before they can progress

  5. Site Documents: staff and contractors see the site documents screen as the last step

  6. Sign out: on departure, either by reopening the same window and selecting Sign Out, or by scanning the QR code, selecting Sign Out and entering their mobile number; a Confirmation Set (OUT) is presented if configured

Sign-ins and sign-outs are recorded in the Sign In Book, giving the site a live register of who is on site.

How they're configured

  • Sign-in points are added under the site's Site Access tab (Add Location): set the location name, draw the geofence, optionally block visitor sign-in, and assign a site induction from the dropdown. The QR code is generated from the location after saving.

  • Visitor behaviour is controlled per sign-in point with the settings Visitors Assign confirmation set, Visitors Assign induction and Require SMS Verification for Visitors. The first two determine whether visitors are also shown the confirmation sets and induction already assigned to that sign-in point.

  • Site inductions are created in the Live Access module under Settings > Site Inductions with a Name, Expiry and Description, then content is added as text or image sections.

  • Site documents only appear at sign-in when Display at Sign In (Live Access) is enabled on the document. Only the latest version is shown. Documents restricted to staff categories are hidden from other users, and documents marked Hide from Contractors are hidden from contractors.
