How to Share a Site Document via a Public Link
You can generate a public link for any Site Document so people outside ComplyFlow — with no account and no login — can view and download it. The link always opens the current version of the document, even after it's been superseded. This is useful for embedding a procedure in an eLearning module, or sending a document to a Contractor or visitor who doesn't have ComplyFlow access.
1. Log in and navigate to Sites > Site Documents.
2. Find the document you want to share. From its row, open Manage > Share (or Manage > Copy link to skip straight to copying). You can also open the document's detail panel and use the Share button there.
3. The Share dialog opens. It shows the link is set to Anyone with the link, with a read-only link field and a Copy link button.
4. Select Copy link, then paste the link wherever you need it — an email, an eLearning module, a QR code, etc. Anyone who opens it can view and download the document without logging in, on desktop or mobile.
Once a document has been shared, its row shows a Shared indicator so it's easy to see which documents already have an active link.
What the recipient sees
Opening a shared link takes the recipient to a standalone, ComplyFlow-branded page — no app menus or login prompt. It shows a preview of the document and a Download button.
If the document has expired: the link still opens and the document is still viewable/downloadable, but a warning banner shows it's expired.
If the link has been revoked, or the document deleted: the recipient sees a message that the shared link is no longer available.
Document visibility settings (Hide from Contractors, Display at Sign In, Restrict to Staff Category) don't apply to shared-link viewers — anyone with the link can view it regardless of those settings.
How to Revoke a Shared Link
1. Open the Share dialog again — Manage > Share on the document row, or the Share button in the detail panel.
2. Select Revoke link.
The old link stops working immediately (recipients see the "no longer available" message). If you share the document again afterwards, a new link is generated — the revoked link can't be reactivated.
