Quick Start Guide: Eligible Question Types for AI Review

Overview

Not all form question types support AI review. This guide explains which question types are compatible and why.

Supported Question Types

AI review is available for 7 question types that involve text or file responses:

Why These Types?

AI review is designed to analyse written or document-based responses:

  • Text inputs provide narrative answers AI can evaluate for completeness, accuracy, and compliance

  • File uploads can be processed by AI (documents, images, PDFs) for content analysis

  • Hybrid types (file + text) combine both analysis approaches


Unsupported Question Types

The following question types do not support AI review:

How Eligibility is Determined

Automatic Filtering

When you configure an AI agent (Guide 1):

  1. Select a Form Type

  2. The Form Question multi-select automatically shows only eligible questions

  3. You cannot accidentally assign AI review to unsupported types

Frontend Display

When users complete forms:

  • AI Review button automatically appears for eligible question types

  • AI Review button never appears for unsupported types

  • No configuration needed from users


Question Type Details

1. Free Text (INPUT)

Example: "What is the contractor's name?"

AI Can Review:

  • Completeness (is answer too brief?)

  • Relevance (does answer match the question?)

  • Format (e.g., expecting a name, not a number)

Use Case: Short answers that need quick validation


2. Text Area (TEXTAREA)

Example: "Describe your safety procedures for working at heights"

AI Can Review:

  • Comprehensiveness (are all required elements covered?)

  • Compliance with standards (e.g., AS/NZS 1576)

  • Clarity and structure

  • Risk identification

Use Case: Detailed narrative responses (SWMS, risk assessments, procedures)


3. File Upload (FILE)

Example: "Upload your site safety plan"

AI Can Review:

  • Document content (extracts text from PDF, DOCX, images)

  • Presence of required sections

  • Compliance with templates

  • Completeness

Use Case: Documents that need content analysis

Supported File Types:

  • PDF documents

  • Word documents (DOCX, DOC)

  • Images (JPG, PNG) - with OCR text extraction

  • Text files


4. File + Free Text (FILEINPUT)

Example: "Upload site map and describe key hazard zones"

AI Can Review:

  • Both the uploaded file AND the text comment

  • Consistency between file content and text description

  • Completeness of both components

Use Case: Documents requiring explanatory context


5. File + Checkbox (FILECHECKBOX)

Example: "Upload insurance certificate" with checkboxes:

  • [ ] Public Liability

  • [ ] Workers Compensation

AI Can Review:

  • File content (verifies insurance details)

  • Alignment with checked options (e.g., does the file show Public Liability coverage?)

Use Case: Categorical documents with verification


6. File + Radio (FILERADIO)

Example: "Upload risk assessment" with radio options:

  • ( ) Low Risk

  • ( ) Medium Risk

  • ( ) High Risk

AI Can Review:

  • File content (risk assessment quality)

  • Appropriateness of selected risk level

  • Justification for rating

Use Case: Documents requiring classification


7. File + Text Area (FILETEXTAREA)

Example: "Upload incident photos and provide detailed incident description"

AI Can Review:

  • Visual content in images (identifies hazards, conditions)

  • Text description for thoroughness and clarity

  • Consistency between images and description

Use Case: Incidents, inspections, audits with visual evidence


Mixed Question Forms

AI Review Appears Selectively

On a single form with mixed question types:

Questions with AI Review:

  • Q1: "Describe emergency procedures" (TEXTAREA) → ✅ AI Review button

  • Q2: "Upload site plan" (FILE) → ✅ AI Review button

  • Q3: "Contractor category" (SELECT dropdown) → ❌ No button

  • Q4: "Work start date" (DATE) → ❌ No button

  • Q5: "Additional safety notes" (TEXTAREA) → ✅ AI Review button

Users see AI review only where it makes sense.


File Processing Notes

How Files Are Handled

  1. User uploads file (e.g., PDF safety plan)

  2. File is base64-encoded in the browser

  3. File is uploaded to AWS S3 with a unique name

  4. S3 file reference (key) is sent to AI Lambda

  5. Lambda retrieves and analyses the file content

  6. AI extracts text and provides feedback

File Size Limits

  • Large files may take longer to process

  • Typical processing: 10-60 seconds

  • Very large files (>10MB) may timeout (see Guide 6)

File Format Compatibility

Best Results:

  • Searchable PDFs (not scanned images without OCR)

  • Word documents with proper formatting

  • High-quality images (clear, legible text)

Limited Results:

  • Scanned images with poor quality

  • Handwritten documents

  • Non-text files (e.g., CAD drawings, spreadsheets)


Configuring Questions for Best AI Results

Text Questions (INPUT, TEXTAREA)

Tips:

  • Use clear, specific question wording

  • Provide context in the question (e.g., "per AS/NZS standard")

  • Set placeholder text to guide users (e.g., "Include at least 5 control measures")

File Questions (FILE, FILEINPUT, etc.)

Tips:

  • Specify expected file format in question text (e.g., "Upload PDF safety plan")

  • Indicate required content (e.g., "Plan must include emergency contacts")

  • Set file type restrictions in form builder

Hybrid Questions (FILEINPUT, FILECHECKBOX, etc.)

Tips:

  • Ensure text and file components are complementary

  • Design prompts that analyse both components together

  • Example prompt: "Review the uploaded certificate AND verify it matches the selected coverage types"


Common Questions

Q: Can I force AI review on a SELECT dropdown?
A: No, AI review is limited to the 7 supported types. Use validation rules instead for dropdowns.

Q: What if my question type changes after assigning an AI agent?
A: If a question type is changed to an ineligible type, the AI review button will automatically stop appearing. The agent assignment remains but is inactive.

Q: Can I assign multiple AI agents to one question?
A: Yes, but only one agent will be active at a time (typically the most recently assigned).

Q: Do file upload questions require a file for AI review?
A: Yes, if the question is of type FILE, FILEINPUT, FILECHECKBOX, FILERADIO, or FILETEXTAREA, a file must be uploaded before AI review can be requested.

Q: Can AI review analyse Excel spreadsheets or CAD files?
A: AI review is optimised for text-based documents and images. Spreadsheets and CAD files may not be analysed effectively.


Troubleshooting Eligibility Issues

Issue: "AI Review button doesn't appear on my question"

Checklist:

  1. Is the question type one of the 7 supported types? (See table above)

  2. Has an AI agent been assigned to this question? (See Guide 1)

  3. Is the AI Tools module enabled for your organization?

  4. Does the question belong to the correct form type?

  5. Has the user exceeded 3 review limit? (See Guide 4)
