Prompting Tips: Reports and Finding Information

Written by Support

Introduction

Once your AI assistant is connected to ComplyFlow, you can ask it questions in plain English. It looks up your data and answers. This guide shows how to ask for what you need and how to build reports. It also covers how to check the numbers before you share them.

The assistant can only see what you can see in ComplyFlow. If you're limited to certain sites, its answers only cover those sites.

Five habits that give better answers

  1. Say "Using ComplyFlow". This tells the assistant to use your ComplyFlow data rather than its general knowledge. Example: "Using ComplyFlow, which suppliers at Albany Warehouse have expired documents?"

  2. Name the site, the time period and the module. "Last month at Western Sydney sites" gets a better answer than "recently".

  3. Ask for record IDs or links. Then you can open the record in ComplyFlow and check it, or action it. Example: "…and include the incident ID for each."

  4. Ask it to tell you if a list is incomplete. Long lists come back in pages. Example: "If there are more results than you've shown, say how many."

  5. Ask one thing, then follow up. Start broad, then drill in: "Which site has the most overdue inspection actions?" then "Show me those actions and who they're assigned to."

Questions to get started

Copy any of these and change the site names and dates to suit.

Checking your access

  • Using ComplyFlow, who am I and what can I access?

  • Using ComplyFlow, what dashboard alerts do I have, and where do I action each one?

Sites

  • Using ComplyFlow, give me a compliance snapshot of [site name]: suppliers, workers, documents and open actions.

  • Using ComplyFlow, compare compliance across my three busiest sites.

  • Using ComplyFlow, which suppliers and workers signed in at [site name] today?

Suppliers and workers

  • Using ComplyFlow, which suppliers at [site name] are not compliant, and what is each one missing?

  • Using ComplyFlow, list workers whose licences or tickets expire in the next 30 days.

  • Using ComplyFlow, give me a full picture of [supplier name]: documents, workers, sites and anything outstanding.

  • Using ComplyFlow, what does [worker name] still need to be compliant at [site name]?

Incidents

  • Using ComplyFlow, summarise incidents reported last month by site and category, and point out any trends.

  • Using ComplyFlow, list open corrective actions from incidents, oldest first, with who they're assigned to.

Inspections

  • Using ComplyFlow, which inspection actions are overdue and who is responsible?

  • Using ComplyFlow, what inspections were completed at [site name] this month and what did they find?

Training

  • Using ComplyFlow, where are our biggest training gaps by site?

  • Using ComplyFlow, who hasn't completed [course name]?

Plant

  • Using ComplyFlow, which plant items have overdue documents or inspections?

  • Using ComplyFlow, are the operators assigned to [plant category] competent to use it?

Permits and forms

  • Using ComplyFlow, what permits are active this week, and which expire in the next 48 hours?

  • Using ComplyFlow, list form responses waiting for approval.

Risk Register

  • Using ComplyFlow, what are our highest-rated risks, and which sites are they on?

Building reports

The assistant can combine information from several modules into one report. Describe the report you want: who it's for, what it should cover and how it should be laid out.

Quarterly incident summary (tested)

Using ComplyFlow, pull all incidents from 1 April 2026 to 30 June 2026. Summarise: total incidents, breakdown by classification, breakdown by site, and open vs closed status. Present each breakdown as a chart I can paste into our quarterly report.

Incident trend over a year (tested)

Using ComplyFlow, compare our incidents across the last four quarters. Show incidents per quarter as a chart, break down LTI / MTI / FAI / near-miss counts per quarter, and identify trends. Is anything getting worse? Add commentary suitable for an annual report.

Quarterly inspections (tested)

Using ComplyFlow, summarise our inspection activity for last quarter: how many inspections were completed, in progress and scheduled; which sites were inspected most and least; how many findings were raised and how many required corrective action. Provide charts and short commentary for the quarterly report.

Full quarterly HSE report (tested)

Using ComplyFlow, prepare our quarterly HSE report for Q2 2026: incident summary with charts, inspection summary with charts, corrective-action status, quarter-on-quarter comparison against Q1 2026, and executive commentary on trends. Output as a single document.

Monthly WHS report

Using ComplyFlow, prepare a monthly WHS report for [month] for the leadership team. Include: incidents by category and site, with a comparison to the previous month; overdue corrective and inspection actions; supplier compliance percentage by site; training completion; and the top five risks. Use headings and tables, and finish with three things that need attention.

Site briefing pack

Using ComplyFlow, prepare a one-page briefing for [site name] for tomorrow's pre-start: who is on site, any non-compliant suppliers or workers, active permits, open actions and recent incidents.

Toolbox talk

Using ComplyFlow, look at incidents and inspection findings at [site name] over the last three months and draft a 5-minute toolbox talk on the most common hazard.

Supplier review

Using ComplyFlow, list every supplier with a document expiring in the next 60 days, grouped by site, as a table I can paste into a spreadsheet.

Tips for reports

  • Ask for tables when you want to paste results into Excel or a slide.

  • Ask for the totals first, then the detail. The summary answers give true totals, even when the detailed list is long.

  • Say who the audience is. A report for the board needs different detail from one for a site supervisor.

  • If you use the report regularly, save the prompt and reuse it each month.

Getting accurate numbers

AI assistants are very good at gathering and summarising information. Check the important numbers before you share them.

  • Long lists come back in pages. A list shows 50 records at a time by default and up to 200 if you ask. Summary answers show the true total and say when a list is partial. If you need every record, ask the assistant to keep going until it has them all.

  • Check headline numbers against ComplyFlow. For a report you're sending on, open the matching screen and confirm two or three key figures.

  • Ask how it got a number. "How did you count that?" or "Which records did you include?" often catches a misunderstanding.

  • If an answer looks wrong, ask again with more detail. Name the site, date range or status you mean.

  • "No results" can mean no access. If you expect data and get none, check that you have permission to see that module and site in ComplyFlow.

What it doesn't do well yet

  • Charts in some apps. Claude on the web and the Claude desktop app can draw charts and produce a full report as one document. Developer tools such as Claude Code in VS Code show tables and text only.

  • Very large exports. For thousands of records, use the export or report screens in ComplyFlow.

  • Closed and never-started inspections aren't included in inspection lists. This matches the Inspections list screen, but an annual count may look lower than you expect.

  • Who raised a corrective action isn't available to the assistant.

  • Actions assigned to a worker or supplier contact can show as "unassigned", so a "who has the most overdue actions" chart may leave those people out. We're fixing this. In the meantime, check owners on the Inspection > Actions screen.

  • Risk controls. Your assistant can add controls to a risk, but it can't read existing controls back. Check controls on the Risk Register screen.

  • Questions about settings and configuration. The assistant works with your records, not with your account settings.

  • Anything you can't see yourself. It follows your permissions exactly.
