There are a few ways to add Workers to ComplyFlow, each with benefits and advantages:
The following sections explain each of these options.
I. Add Workers Individually using the Add Worker Wizard
You can use the Add Worker wizard to add a single Worker at a time.
1. Go to the Worker List view
2. Select the Add Worker button (top right) then Add Single Worker from the drop down.
3. Step 1 will take you through the process of adding the Worker’s Personal Details:
4. In Step 2 - you can assign the Worker to any Clients they are engaged by (you can also Do this later)
5. After assigning applicable Clients, select Continue.
If the Client requires a licence when adding Workers (and prepurchased licences are available), selecting the Apply Licence button will use a single annual licence and you will be navigated to the Client Set Up (step 5)
If a licence is unavailable, the Purchase Licence button will be displayed instead:
Selecting Purchase Licence will direct you to the Upgrade Licence page, where you can proceed with purchasing a licence for your Worker:
6. In the Client Setup Screen, you can assign the required Worker categories. Based on the selected categories, document requirements will automatically be assigned to the Worker:
7. Select Done to proceed → If there are multiple Clients you will need to the select the setup required for each Client the Worker is assigned to:
8. Select Finish when you have completed the Client Set Up for the Worker.
You have successfully added the Worker and any requirements will be on the Dashboard
To return to the home screen, select Finish or Add Another Worker if necessary.
II. Import Multiple Workers via CSV / Excel Sheet
Another option, helpful for administrators adding multiple workers, is to import Workers via a CSV or Excel Sheet.
You can watch a video on how to do this, or follow the steps below:
1. Go to the Worker List view
2. Select the Add Workers > Import Multiple Workers button (top right)
This will open a slide-over where you can download the template to populate with your Workers.
4. Copy in your Worker's details into the correct columns
Required Fields:
First Name
Last Name
Email
Optional Fields:
DOB
Mobile Phone
Worker Category
Site
Only First Name, Last Name and Email are required. All other fields can be left blank and will be requested from the Workers after they are added
5. Save the file and drag it into the upload area (you can also select the upload area to select the file from your device)
6. Select the Client to import them to (the Licence required for these Workers will also be displayed)
7. Select Import Workers
8. Review the Import Summary (Confirm Details)
If you see the Missing Records notification (image below), Workers can still be imported. They will just need to complete the required fields when they first log in
9. Select Import to Staging Area for Review
10. Once in the Staging Area, check all the Workers details are correct in this area before you import them.
Note: You can uncheck the Import checkbox for any Workers you don't want to import, and you can also delete them from the Staging Area if you accidentally added them.
11. Select Import Workers in the top right
Your Workers will be imported to ComplyFlow and made visible in the Worker List. They will also receive an invitation email to join ComplyFlow and complete the requirements for any Clients assigned to them.
III. Send Workers a self-registration link
Another way to add Workers is to send them a self-registration link. This allows Workers to join ComplyFlow, add their details, and complete any set-up requirements from their devices at their own pace.
Note: A self-registration link can only be sent for a Worker to register for a specific Client.
To send Workers a self-registration link:
1. Go to the Clients list in the left-hand menu
2. In the Enterprise Clients list, find the Client to whom you want to send the self-registration link.
3. Select Copy URL in the Invite Worker column:
This button will Copy the URL to your clipboard → You can then paste it into an email and send it to any Workers that need to register in ComplyFlow for this Client.
FAQs
What happened to tokens? Why do I need to purchase a Worker Licence?
ComplyFlow has a shared licence payment model that is more affordable for Contractors. Rather than purchasing a token for each Client your Workers are assigned to, a single Licence allows you to share /assign this Worker to unlimited Clients. Learn more about updates to Licences & Billing.
Note: Some Contractors will be engaged by Clients that do not require a licence (i.e. they cover the licence costs). In this case, a licence is not required is displays a ‘Free’ when adding Workers to the system.
What is the Client Set Up?
The Client Set Up section is a digital form that captures important information about Workers for the Client. It will appear for Clients who have specific compliance requirements for Workers based on their roles, sites, departments, and more.
The selections made in the Client Set Up form will trigger different compliance requirements for the Worker, such as documentation, training, or inductions. When a Client requests it, the ComplyFlow team reviews all documents and training.
