An Inspection template is a predefined form used to standardise the inspection process. It outlines the necessary fields, questions, and criteria to be assessed during an inspection. The Inspection templates can be used on the web or with the ComplyFlow Inspection apps (iOS App | Android App).
To add an Inspection Template, follow these steps:
To create an inspection without editing the Advanced Settings, refer to the Adding Inspections guide.
To add or modify Inspection templates, you must have the Create, View & Modify Inspection/Templates (previously Audit RW) permission. Refer to Staff Permissions Overview for more information.
1. Create a Template
1. Log in to your ComplyFlow dashboard and select the module picker. Select Inspection > Templates > Create Template.
2. A slide-over panel will be displayed. Fill in the required fields and select Continue.
Inspection Program: These categories help organise your inspections. Although pre-populated, users with Manage Settings permission can modify them. Alternatively, contact your System Administrator for assistance.
Project: This field is usually left blank, making the template available site-wide. Selecting a specific site limits the template's availability to that site only
Title: A descriptive title for the inspection template (e.g., "Daily Safety Inspection Checklist")
2. Add Checklist Items
Add inspection categories and checklist items using one of the two methods below:
Manually add inspection categories and checklist items
1. Untitled Category/Section: Enter a brief title describing the inspection category or section (e.g., "Equipment Condition" or "Safety Hazards")
2. Add Checklist Item: Specify a concise name for the checklist item (e.g., "Fire Extinguisher Inspection" or "Emergency Exit Signage")
3. Add Instruction (Optional): Provide additional context or guidance for completing the checklist item (e.g., "Verify fire extinguisher expiration dates" or "Confirm emergency exit signs are clearly visible")
4. Select + Add Item to add a checklist item, or select the delete icon to remove an item.
5. Select + Add Category (Section) to add more sections.
6. When done, select Save Template.
Upload categories and checklist items via CSV
1. Select Download CSV Template on the checklist slide-over panel.
You can also create a CSV file from scratch. Open Microsoft Excel, create a new sheet, and fill in the required headings on the first row: Category, Question, and Instruction. These headings ensure proper sorting in ComplyFlow and are included in the downloadable CSV template.
2. Populate the table with relevant details.
By default, uploaded questions appear in alphabetical order. To customise the order, add numbers to your template. For example:
3. Once you're satisfied with the content, save the file with a descriptive name, including the date, and store it in a designated folder for future reference. When saving, select Comma Separated Values (MS-DOS) as the file format.
4. Upload the completed CSV file by dragging it into the box or selecting Click Here. The uploaded CSV file will replace any manually entered criteria. Review the populated template to ensure accuracy, then select Save Template.
5. If the upload is successful, the Inspection form will be populated immediately. If not, the form will remain blank, typically due to formatting issues. Contact ComplyFlow Support for assistance at support@complyflow.com.au, if needed.
3. Edit Advanced Settings
1. In the Templates list page, find the template you just created. Select Manage > Settings/Schedule or select Manage > Edit > Advanced Settings. You can also customise recurring inspection templates in the Advanced Settings panel. For detailed instructions, refer to Scheduled Inspections.
2. Configure Template options:
a. Is this a Public Template: Select Yes to make the template accessible to all Staff Users within your organisation. Select No to restrict availability to specific Staff Users, who can then be selected from the Select staff dropdown.
b. Require all checklist items to be completed before syncing data: If you select Yes, all checklist items in the template need to be completed before syncing data. If you select No, you will be able to sync data without completing the checklist items in the template.
c. Is Plant Inspection: Select Yes, if the template is a Plant Inspection, otherwise, select No.
If you select Yes, you'll be asked to Add Attendees to inspection, where you can select Yes or No.
If you select Yes, a warning will appear on the bottom left.
d. Available to Contractors: Decide whether the template can be completed by Contractors (Yes or No)
e. Inspection Template Custom Fields: The custom fields of the Client can be added to the Inspection and assigned to a Template. Refer to Inspection Custom Fields for more details.
3. Select Save Template Settings.
