The Notifiable Incidents feature is an optional configuration in the Incident Module. When it is enabled, it will prompt the User to determine if the Incident is potentially notifiable immediately after creating the Incident record. The workflow can be customised at this point, but typically involves escalating the Incident to the Security Group (i.e. with restricted access).
A Potentially Notifiable Incident (PNI) usually refers to an event or situation in the workplace that has the potential to cause significant harm or danger but may not have resulted in serious injury or illness at the time it was recognised. These can include near misses, unsafe conditions, or hazardous situations that, if left unaddressed, could result in a serious incident.
In Australia, under the Work Health and Safety Act, a ‘notifiable incident’ involves the death of a person, serious injury or illness, or a dangerous incident that exposes a worker or any other person to a serious risk. A ‘Potentially Notifiable Incident’, in this context, might be something that has the potential to result in one of those outcomes.
This guide will show you how to effectively manage Notifiable Incidents. In order to do so, you must be assigned to the Notifiable Incident Security Group.
1. When an Incident is deemed as ‘potentially notifiable’ → Users who are part of the Notifiable Incident Security Group (e.g. Legal) will receive an email that highlights the Incident created. It will show the name of the person who created the Notifiable Incident, phone number, and Incident details. Selecting View Incident navigates to the Incident detail view in ComplyFlow.
2. After you select the View Incident button, it will bring you to the next page with more details of the Incident.
Please note that only the legal team has access to view the Incident details (i.e. it is ‘Restricted’).
3. If you wish to authorise another User (i.e. anyone who is not assigned to the Notifiable Incident Security Group) to view the Incident , you can do so by selecting Add Users (top right).
Once one or more Users have been granted access to the notifiable Incident, the button label will change to ‘Manage Users’, allowing you to add or remove Users who have been granted access to the restricted Incident.
4. If you wish to proceed with gathering further details over the phone from the User, you may scroll down to the bottom and select Edit Incident.
5. After selecting Edit Incident, you can proceed with editing the Incident according to the standard workflow for the selected Incident Type.
6. If at any point, you have decided that an Incident is not considered notifiable, the Unrestrict button can be selected. This will grant access to everyone with permission to view Incidents (i.e. the Incident is no longer restricted to the Notifiable Incident Security Group).
