If you would like to manage Corrective actions, please follow the steps below.
Corrective Action refers to the process of identifying and addressing issues or nonconformities in order to prevent their recurrence. It involves taking steps to rectify problems and improve processes to ensure compliance with standards and regulations. Corrective Actions are typically implemented in response to Incidents or Inspections to mitigate risks and enhance overall quality and safety. This can be used to track actions for specific Staff Users.
Only the User selected as Staff Assigned for each Corrective Action will receive email and dashboard notifications. You will need to have permission to create, view & edit Incidents (Incident RW) to be able to manage Corrective Actions.
How to manage Corrective Actions
1.Navigate to the Incident > Corrective Actions section.
2. The list of all Corrective Actions will be displayed on the following screen. Proceed to the list to review the specifics of an existing corrective action.
Corrective Actions Status
Open - When a Corrective Action is identified but no progress or action has been taken yet, it remains in the ‘Open’ status. This status indicates that the issue has been acknowledged but hasn't been addressed yet. The Corrective Action plan might need to be developed or assigned to a Staff User
In Progress - This status indicates that work has begun on addressing the Corrective Action, but it's not yet completed. If a corrective action was previously marked as ‘Closed’ but the issue has resurfaced or was not fully resolved, it can be re-opened and set to ‘In Progress’ status for further work
Closed - When the Corrective Action has been fully implemented and the issue has been resolved, it is marked as ‘Closed’. This status signifies that the action has been completed successfully and the problem should no longer persist
Partial - Add activity by setting the status of the Corrective Action to ‘Partial’: Sometimes, a Corrective Action cannot be fully implemented for various reasons, such as resource constraints or technical limitations. In such cases, the action may be marked as ‘Partial’ to indicate that some progress has been made, but it's not yet complete. Adding activity here typically involves documenting the progress made so far and outlining any remaining steps needed to fully resolve the issue
Not Required - Add activity by setting the status of the Corrective Action to ‘Not Required’: Occasionally, after further investigation or reassessment, it may be determined that the Corrective Action is unnecessary. This could be because the issue is no longer relevant, the risk associated with it is deemed acceptable, or there are alternative solutions in place. Changing the status to ‘Not Required’ indicates that no further action is needed. Adding activity in this case would involve documenting the rationale behind the decision and any alternative measures taken, if applicable
a. If the existing Corrective Action recommendation needs modifications, select Actions > Edit.
b. To close a Corrective Action, select Actions > Close / Add Activity.
c. You have the option to download the CSV file containing the list of all Corrective Actions by selecting Download CSV button.
3. When deciding to close an existing Corrective Action, the following screen will be shown.
a. Complete the Activity Undertaken field.
b. Use the small calendar icon to choose the Date of Activity.
c. Select options from the dropdown menu for Is the Corrective Action Closed?.
d. Select on the Add Files button if you would like to upload file(s), and then choose the path to add the attachment.
e. Once done, select the Save button.
