There are several statuses that an Incident can have (i.e. to reflect what state or stage the Incident is in, and if there are pending actions, or if the Incident report can be closed off).
The Incident module is an optional module that can be used to track workplace safety events, automate workflows, manage reviews, Investigations and closeouts (or Corrective Actions).
Note that there are several possible configurations for the Incident module and not all features below are relevant to all accounts. For example, some customers choose not to Bypass the ‘Person Responsible’, opting instead for notifications to be sent directly to Notification Groups.
The easiest way to view and understand Incident Statuses is to explore the Incident list…
Navigate to the Incident Module using the module picker (image below, top left), or select the Incident menu item in the ‘old’ ComplyFlow (not pictured)
Next, select 'Incidents' from the left menu
Select 'Filters' (above the table) and then locate the Status' field in the slide-over panel, here you can see - and filter by - all of the possible Incident Statuses:
Please see below for more information on what each status means:
Draft: The Incident has not yet been submitted and the Person Responsible has not been notified. Note that the Incident form will auto-save in ‘Draft’ mode when the creator is working on it.
Draft & Notified: The creator of the Incident has notified the Person Responsible, but has not yet submitted the Incident.
Submitted: The Incident has been submitted, and the Person Responsible has been notified (when configured). No Corrective Actions or Investigations are ‘Pending’. The Incident can be closed (or signed off) at this point.
Note that the Incidents without any Pending Actions or Investigations will automatically transition to the next Status. Incident can return to the ‘Submitted’ status when they have been Closed and then re-opened.
Ready-to-Close: All Corrective Actions and/or Investigations associated with the Incident have been closed out (or are ‘not required’). Additionally, if an Incident is created and submitted without any Corrective Action and/or Investigation raised, it is automatically set to 'Ready To Close' (refer to the note above).
Awaiting Sign-off: Most Incident configurations do not include this status. This status generally applies to serious incidents and can only be triggered by TAG on a question-answer (e.g. High severity incidents, or injuries). When configured, the Incident is escalated to a specific user for Sign-off.
Tags can be used to create conditional logic, such as skipping a section or making it required. A Tag is configured and then assigned to a question response. When the user selects the question response, it triggers the Tag.
Pending Actions: There are one or more Corrective Actions that are not closed or not required and/or there is a Pending investigation. When you hover over the PENDING ACTIONS status, a tooltip will display the outstanding Corrective Actions or Investigations.
Closed: The incident has been marked closed (or has been ‘signed off’). Refer to Awaiting Sign-off, above.
