To approve the submission of an uploaded Staff document, please follow the steps below:
It is important for all Staff categories to have a designated ‘Staff Category Approver’ configured. When a document is uploaded for a particular 'Staff Category' assigned to a Staff member, it will appear on the dashboard of the corresponding 'Staff Category Approver' that has been configured.
Via the New ComplyFlow Dashboard
1. Select Filters (above the table) and then locate the Entity Type field in the slide-over panel, select Staff from the dropdown menu and click Done. Here you can also filter by Requirement Status, Requirement Type, Organisation, and Invoice Status.
2. Choose the Staff document you will be working on by selecting Review Document.
3. Next, the following screen will be displayed:
a. Select the Download button to review the document.
b. Review the dates entered by the Staff member.
c. If the expiration date showed in 'b' is incorrect, you can make changes by selecting the small calendar icon.
d. If the date is accurate, mark the checkbox.
e. If the document does not have an expiry date, please mark the corresponding box.
f. Provide any comments you may have before approving or rejecting the document.
g. Select either the Approve or Reject button.
5. Once the Staff document review is completed, proceed to select Done.
Via the Old ComplyFlow Dashboard
1. To approve a Staff member's document, navigate to your dashboard and select on the Click Here button next to the alert.
2. Next, the following screen will be displayed:
a. Select the Download Document link to review the document.
b. Review the dates entered by the Staff member.
c. If the expiration date is incorrect, you can make changes by selecting the small calendar icon.
d. If the date is accurate, mark the checkbox.
e. If the document does not have an expiry date, please mark the corresponding box.
f. Provide any comments you may have before approving or rejecting the document.
g. Select either the Approve or Reject button once the Staff document review is completed.
If the document is approved, it will be saved as an approved document on the Staff member's record. If the document is rejected, it will be returned to the Staff member for further action based on your comments.
