When setting up a document you can link files for the person to download from the description on the dashboard.
Common uses of this feature are providing blank templates to the worker or staff.
The steps below are for Linking a file and Updating a linked file. If you have any questions, issues or would like Comply Flow to check this has been setup correctly please contact your client manager.
Linking a File
1. Go to Configuration > Document Categories.
2. Find the document category you are after (or add new) then click the edit button to open.
Note: If you are adding a new category you need to set the category up first then go back in and link a file.
3. Select the
button. If your file is already available in the list select that (1) or add new (2) and click 'insert'.
4. The code will show at the bottom of the description. If you want to place it somewhere else copy and paste it to another area. Once you are satisfied with the text select 'save'.
Updating a File
We recommend using version control in the name of the file so you can easily distinguish which is the correct file to replace.
1. Go to Configuration > Document Categories.
2. Find the document category you are after then click the edit button to open.
3. There isn't an undo button so please copy the existing description and save it somewhere as a safety net incase you want to revert back.
4. Remove the Codes for the old link which will show as text between <a href=...</a>.
5. Select the
button, then select 'Add New'. Once you have found your file and selected it you will see it in the list. Check the box next to it and select 'Insert'.
6. The code will show at the bottom of the description. If you want to place it somewhere else copy (1) and paste it into the right area (2).
7. Once you are happy with the placement and wording, select 'Save' then test from the dashboard.
Testing
The description will be available in the document Category table for testing however this is not currently visible in production. For now please follow the steps below to check.
1. Go to your profile.
2. Assign as an additional document (1) and click the plus button to finish (2).
3. Check the dashboard link.
