Do you need to add or edit a Staff User's permissions? If so, follow the steps below:
The Staff module in the New Dashboard is where you can manage Staff User’s permissions, (i.e. to access and manage different ComplyFlow modules), as well as track HR requirements (e.g. Documents or Staff Categories).
Before you get started
A key concept to understand is that Permissions can be configured at the Organisational level or applied at a Site/Project level for each Staff User. For detailed access to each permission, refer to Staff Permissions Overview.
Managing Permissions in the New Staff List
This guide aims to provide you with an overview of managing your Staff Users, and ensuring their security access while minimising the need for intervention from ComplyFlow. To manage this feature, you will need access to the new Staff List (if you can’t see this view please contact support). You will also need the required permission to add and edit internal employees (Staff RW ORG or Staff RW Site level).
Note that these permissions are now renamed ‘Add & Edit Internal Employees’ – please refer to the table at the bottom of Staff Permissions Overview.
Updating Permissions for a Staff User
Navigate to the Staff module, click Staff and locate the Staff list section.
Choose the Staff member for whom you want to review or update permissions. Select the Actions > Permissions dropdown.
All accounts should have a pre-configured set of Permissions called a Permissions Scheme or Profile. Select the Profile for the User and set them to the Entire Organisation or Assigned Sites Only.
If you need to modify permissions you can switch to the Advanced tab.
Utilise the Toggle Down button to display the available settings within each module, such as Organisation, Staff, Suppliers, Forms, Incident, and Inspection.
The toggle Entire Organisation / Assigned Sites Only allows you to set permissions either across the entire organisation or for specific Sites assigned to the Staff User.
When a new Staff is added, the Toggle is set to Assigned Sites Only by default.
a. When the Assigned Sites Only toggle is clicked, the Entire Organisation toggle will be displayed and its colour will change to grey. This action allows you to grant selected permissions for the entire organisation (i.e. for all sites).
b. When clicking the toggle from Entire Organisation, it will switch to Assigned Sites Only and change to blue colour. This action applies permissions to all assigned sites of the User, eliminating the need to update them manually for each Site.
5. Click on the Update Permissions button once you have finished. This will apply all of the permissions applied to the Staff Users (at the Org or Site level selected in each module). Keep in mind that Site-level permissions are applied at all Sites the User is assigned to.
