Effective risk management is vital to your organisation's operational integrity and strategic success. Dealing with risks proactively will help your organisation optimise resources, protect your reputation, foster continuous improvement, and enhance resilience against challenges. This approach ensures that the organisation remains strong against potential challenges.

What are Risk Register Actions?

Risk Register Actions are tasks assigned to mitigate or manage identified risks. There are two ways to assign these tasks:

  1. manually by the Risk Owner or anyone with Manage Categories, Risks & Owners permissions

  2. automatically as part of a Risk Review

Actions List View

This Risk Register > Actions view allows you and your team to see all Actions across the Risk Register in a single, consolidated view, making it easier to track, prioritise, and manage actions. Here you can sort and filter actions based on different criteria, such as due date, status, or associated risk.

To view the Actions List, at the top left select the module picker > Risk Register > Actions:

Manually Add an Action

The step-by-step instructions below will guide you on how to add an Action to the Risk Register and assign it to the Person Responsible.

Ensure you have the Manage Categories, Risks & Owners permissions to add Actions in the Risk Register module (refer to the Risk Register Permission guide). If you do not have these permissions, please reach out to your main contact or support@complyflow.com.au.

1. Log in to ComplyFlow using your email address and password or sign in with your Microsoft account.

2. At the top left select the module picker > Risk Register.

3. Locate the Risk item using the Search bar, Filters, or browsing the Risk Register list page.

4. Select Manage > View Risk alongside the relevant Risk item.

5. On the selected Risk view page, select the Manage > Actions.

6. Select the Add Action + button.

7. Enter Action details in the slide-over panel. Complete these required fields:

  • Action: Briefly describe the task (e.g., "Conduct Risk Assessment"). Provide a clear, concise title.

  • Details: Explain the Action's objectives, scope and requirements. Include relevant context.

  • Assign to: Select the responsible Staff User, ensuring accountability and progress tracking.

  • Due date: Set a realistic completion deadline, enabling timely risk mitigation and task prioritisation.

Accurate completion of these fields facilitates effective risk management, collaboration, and compliance.

8. Review and confirm the details and select Create Action.

If you are not the Person Responsible an email alert will be generated to notify them.

Added activities are displayed in the Risk Action Details panel.

Access the Risk Action Details panel by selecting Manage > View in the following pages:

  • From the main Risk Register page, select the risk item associated with the Action (or select the Pending Actions badge in the Expanded View)

  • Risk Register > Actions view

Update an Action

1. Find the action you need to update and select Manage > Edit next to it.

2. Update the Action details as required. Select Save to confirm changes.

The Risk Action details will be updated immediately.

Close an Action (2 Ways)

Method 1

From the Risk Register page, select the Risk item associated with the Action (or select the Pending Actions badge in the Expanded View) and, next to the Action you want to close, select Manage > Close/Add Activity. This will open the Add Activity for Risk Action panel.

Method 2

Navigate to the Risk Register > Actions view, filter and select the Actions assigned to you, then next to the Action you want to close, select Manage > Close/Add Activity. This will open the Add Activity for Risk Action panel.

Close Risk Action

1. In the Add Activity for Risk Action panel, fill out the required fields.

2. Select Yes in the Is the Risk Action Closed? dropdown.

  • This will set the Risk Action status to Closed

  • Other dropdown options:

    • No: Changes status to In Progress

    • Partial: Sets status to Partial

    • Not Required: Updates status to Not Required

3. You can upload photos or files by selecting the Add Files button.

4. Then select the Save button. The Activity will be saved successfully, and the Action Status will be updated immediately.

If an action is related to a Control, the control itself needs to be updated manually (i.e. from the Risk Detail)

If you encounter any issues while completing an action, please email us at support@complyflow.com.au for assistance.
