Scheduled Inspections

Background

The ComplyFlow Inspection Module has a scheduling function for when an Inspection is required on a regular basis. Scheduled Inspections can be assigned to specific users, a Site, or a Staff Category and set to repeat at intervals (configured in the Inspection Template).

Scheduled Inspection Apps

Scheduled Inspections work with our Native Apps (iOS and Android) that you can download from the Play Store and App Store.

To add or modify Inspection templates, you must have the Create, View & Modify Inspection/Templates (previously Audit RW) permission. Refer to Staff Permissions Overview for more information.

Setting up a Schedule for Inspection Templates

To create a schedule for your Inspections, you first need to create a Template:

1. Navigate to Inspection > Templates > Create Template.

2. Next, select the Program and Site for your Template and provide a Title and then select Continue

3. You will need to create your Inspection Template and setup the checklist items before updating the Schedule. For example:

It is also possible to Schedule existing templates as well (as required)

4. After saving the checklist navigate to Templates view (left menu) and select Manage > Settings / Schedule option from the Action column:

You will then be redirected to the Advanced Settings Tab we can you modify additional settings for the Template and schedule Inspections.

The Advanced Settings slide-over allows you to modify a range of configuration options for each Template.

Template Options

This section allows you to configure settings for the template, including:

  • Public Templates (the template can be restricted to only some users)

  • Plant Inspections (use this option to enable additional settings for plant inspections)

  • Available to Contractors? (when selected, your Contractors will be able to access and complete the template)

  • Custom fields (when configured you can select custom fields to display in your Inspection)

Schedule Inspections

There are numerous settings available when configuring scheduled (or recurring inspections):

  • Repeat Every: Select how often this template should completed

  • Start Date: Select the Start Date for when the inspection becomes due

  • End Date: Select an End date if applicable

  • Site: Select the Site where the inspection needs to be undertaken.

  • Who should complete this inspection: Select the users that should be undertaking this inspection.

When Schedule Inspections is selected, the schedule will be automatically developed and the next pending inspection(s) will be displayed in the Inspections list (and will be available to complete from the Inspection App)

Configuration Examples

Assigning to Staff Category (Role)

Itโ€™s common for an Inspection to be assigned to any member of the Senior Leadership Team to undertake a site walk on any asset every 3months.

Repeat every: 3 months

Site: Any Site

Staff Category: Senior Leadership Team

Anyone in this Category: True

The above settings will schedule an Inspection for the Senior Leadership Team to undertake on any asset every three months. If anyone in the Senior Leadership Teams completes the Inspection, the requirement has been met.

Assigning to a Site

Another common scenario is to require a site inspection, such as a monthly pest or racking Inspection, to be carried out.

Repeat every: 1 month

Site: All Site

Anyone: True

Anyone in this Category: True

These settings will require anyone assigned to the site to complete an inspection at least once a month. This would typically be paired with a Staff Category so there is some accountability.

Assigning to an Individual

If you must assign an Inspection to an individual, you can do that, too. An example may be to do an ergonomic assessment of your workstation once a year, which would be assigned to individuals who work from home.

Repeat every: 12 months.

Site: Any Site

Select Users: [Selected Users]

Everyone in this Category: True

We would always recommend creating a Staff Category to reduce the ongoing maintenance of moving people in and out of the Scheduled Inspection and not using this feature unless you have to.

Assigning a Combo

In most cases, a combination of Sites / Users will be required to fine-tune your Inspection Schedule.

Site: All Sites

Staff Category: Supervisors

Everyone in this Category: True

This will schedule an Inspection to be carried out by all Supervisors on All Sites.

Combinations are redundant and should be avoided when assigning to Select Users. There is no need to assign a Site combination here, as the Inspection is assigned to the User.

How do we know when we have an Inspection due?

The User will receive a notification on their Dashboard 7 days after the due date, and their Inspection App will show pending Scheduled Inspections. Dashboard Notifications are emailed to users once a week.

Completing a Scheduled Inspection

  • A Scheduled Inspection can be started from the Dashboard Notification (Web Version) or the Inspection App (Mobile Version) and will mark the Schedule as Complete

  • Starting an Inspection in any other way will also link the Inspection to the Schedule if it meets the criteria

Updating the Schedule

You can update the schedule from the Templates view (left menu) and select the Manage > Settings / Schedule option from the Action column.

You can also select Remove from Schedule to prevent further inspections from being generated.

Reporting

The Inspection List displays all inspections from the schedule and the status and can be filtered by the following statuses:

Status Indicates inspection has been done

Status indicates the Inspection has been started but not finished

Status indicates the due date for the scheduled inspection has passed

Status Indicates a Scheduled Inspection has not yet fallen due and has not yet started
