05-12-2025 December 2025 Quick Release V1
Summary
This release delivers significant enhancements to the Forms AI Review functionality and addresses critical bugs affecting form question configurations and document processing. The release resolves 8 issues including important bug fixes, improvements to global document processing, and Supplier invitation workflows, while adding powerful new AI review features for form approvers and reviewers.
If you are interested in our AI features please refer to the Quick Start Guide below:
Forms Module
AI Review Feedback Now Visible to Approvers - Form approvers and reviewers can now see AI-generated review feedback when reviewing submitted forms. AI feedback appears in a collapsible panel above each question, allowing reviewers to understand what the AI has already analysed before providing their own feedback. This improves review efficiency by showing AI insights alongside the form content.
AI Review PDF Export Now Works - The "Download Feedback" button for AI reviews now works correctly for all users who have access to the form. Previously, reviewers other than the original form submitter would receive an error when attempting to download AI feedback. Any staff member in the organisation can now download AI review feedback for forms they have access to.
Required Questions Now Enforce AI Review Completion - When a form question is marked as required and has AI review enabled, users must now complete the AI review before submitting the form. This ensures critical questions receive AI analysis before submission, improving compliance quality and reducing manual review work.
AI Questions Limited to 5 Files - File uploads on AI-enabled form questions are now limited to a maximum of 5 files per question. This aligns with AWS processing limits and includes clear messaging to users about the restriction, preventing submission errors when too many files are attached.
Bug Fixes
Triggered Documents No Longer Lost When Editing Questions - Form question values now retain their assigned document categories and contractor attributes when other settings are changed. Previously, editing question settings (like enabling custom ordering) would inadvertently clear the triggered documents and attributes from answer options, causing compliance requirements to silently disappear from forms.
Dashboard & Document Management
Global Company Documents Can Now Be Processed from Universal Dashboard - CF Admin staff can now approve or reject company global documents from the universal dashboard (ComplyFlow Support usage only).
Supplier Management
Supplier Category No Longer Auto-Selected for Enterprise Accounts - When inviting new suppliers, Enterprise accounts now display a placeholder in the supplier category dropdown instead of automatically selecting the first category. This prevents accidental assignment of the wrong category (such as "Asbestos Removal" being selected when it appears first alphabetically) and requires staff to make a deliberate category selection.
Plant & Equipment API
Activation History Added to Plant API - The Plant API now includes activation and deactivation history data, providing external systems with complete visibility into plant equipment status changes. The history can also be viewed in the Plant Detail screen from the Deactivation History tab. This enhancement supports integration requirements for tracking when plant items were activated, deactivated, or archived, including who performed each action.
05-12-2025 Scheduled Inspection Templates
Summary
This release delivers important improvements to the Scheduled Inspection functionality, improving template synchronisation, data integrity during mobile sync operations, and API reliability.
Inspections - Scheduled Inspections
Scheduled Inspections Now Use Latest Template Changes - When starting a scheduled inspection, the system now retrieves the most current version of the inspection template including any updated categories and checklist items. Previously, scheduled inspections would use the template configuration that existed when the inspection was first scheduled, requiring users to delete and recreate all scheduled inspections whenever templates were updated. This fix ensures template changes automatically apply to future scheduled inspections without manual intervention.
iOS Scheduled Inspection Title and Checklist Items Now Display Correctly - Fixed an issue where scheduled inspections on iOS devices would sometimes show blank titles and missing checklist items.
Scheduled Inspection Data Preserved During Re-sync After Deletion - When a scheduled inspection is partially synced from mobile, deleted from the web app, and then re-synced from mobile, the system now correctly restores the original scheduled inspection data including the scheduled date and template reference. This prevents data loss scenarios where checklist items and additional information would be lost during re-sync operations.
Authentication
Employee Microsoft SSO Login Now Returns Correct Name - Fixed an issue where employees logging in via Microsoft Single Sign-On would have an empty name field in their profile, causing inspection sync failures. The API now correctly retrieves the employee's name from available sources, ensuring inspection sync operations complete successfully.
