New Feature: AI Course Creator
ComplyFlow Online Training now includes a built-in AI Course Creator that lets training administrators turn a prompt, a document, or a presentation into a fully-fledged training course in minutes — no instructional design background required. Rather than uploading SCORM packages built in external tools, you can now author safety, induction, and compliance courses directly inside ComplyFlow, using AI to draft lessons, quizzes, and interactive activities tailored to your workplace. For Workplace Health & Safety teams, this collapses the typical “write the procedure → brief a designer → wait two weeks for SCORM” cycle into a single sitting, so toolbox talks, SWMS refreshers, and site-specific inductions can be deployed the same day they are written.
Capabilities
Choose how you want to create a course - A new Create Course screen presents four clear paths: generate a course from a written prompt using AI, transform an uploaded document (Word, PDF, etc.) into a course, convert a PowerPoint presentation into a course, or open a blank canvas and build from scratch. Traditional SCORM upload remains available alongside the new options.
Generate a course from a prompt or a document with AI - Describe what you want to teach (e.g. “Working at Heights refresher for our Sydney site”) and AI Course Creator drafts the lessons, knowledge checks, and final assessment for you. Or upload an existing procedure, policy, or training manual and let the AI restructure it into an engaging course with images, micro-lessons, and quizzes.
Preview, edit, and replace courses without rebuilding from scratch - Every AI-created course can be previewed before assignment, opened in the visual editor to refine wording or branding, and replaced in place when content changes — meaning workers automatically get the latest version without you having to reassign training. AI-created courses are tagged distinctly in the course list so you can tell at a glance which were authored in ComplyFlow versus uploaded as SCORM.
Trial the feature for free, then upgrade to a paid seat - Any training administrator can activate a 30-day free trial of AI Course Creator from the Online Training module and start authoring immediately. Status banners and email notifications keep you informed of how many trial days remain. When you are ready to commit, your CF Admin can convert your trial into a paid author seat — and any courses you created during the trial come with you.
Assignment and SCORM compatibility built in - Courses authored in ComplyFlow plug into the existing assignment workflow exactly like uploaded SCORM packages: assign to workers, sites, or job roles; track completion; export SCORM for use in third-party LMSs. Assignment validation prevents accidentally pushing a course that is mid-edit, and dynamic SCORM generation means learners always get the freshest version.
Org-level governance and admin controls - CF Admins can allocate paid author seats per organisation, see who is on trial vs. paid, view trial analytics, and manage any course in any org from a single console. Course ownership and deletion permissions ensure only authorised staff can remove courses, and ComplyFlow-deleted courses are handled cleanly so worker training history stays intact.
Automated weekly course backups - Every paid org’s AI-created courses are automatically backed up to ComplyFlow’s secure storage each week, so a course can be restored if it is accidentally deleted or edited beyond repair. No manual export required.
Trial → Paid → Expiry lifecycle
Trial: Activate a 30-day trial in one click from Online Training. You can create unlimited courses, assign them to workers, and use every feature of AI Course Creator. ComplyFlow sends a welcoming email after your first course and reminds you as the trial winds down.
Convert to paid: Speak to your CF Admin about activating a paid author seat. Once enabled, your trial courses, assignments, and learner progress carry over with no rebuild — and weekly automated backups switch on for your org.
Expiry without conversion: When a trial ends without a paid seat, you can no longer create new AI courses or edit existing ones, but courses that were already assigned to workers remain available and trackable. A nightly job processes expired trials automatically. Course content created during the trial is preserved — if you upgrade later, you regain full edit access; if you do not, learners can still complete what has already been assigned.
Online Training — Refinements
Edit Course Screen Tidied Up - The “Replace with SCORM” button now sits as a small link in the Course Details section instead of a full panel at the top, and Publishing & Download options have moved below Configuration. Applies to both AI-created and SCORM courses.
Edit in Fullscreen Opens Directly to Edit Mode - Selecting “Edit in Fullscreen” on an AI-created course now opens the course in Edit mode immediately, so authors can start editing without manually switching from Preview.
Cleaner Add/Edit Course Layout - Removed the unnecessary banner panel from the top of the Add/Edit Course screen; helper text now sits inside the existing Course Details panel.
Dismissible Trial Info Panel on Create Course - Trial users on the Create Course screen now see a dismissible info panel explaining the 30-day free trial, paid seat pricing, feature limitations during trial, and the AI / data-residency notice with a link to the Privacy Policy.
New Author Seats Screen for Organisations - A new Author Seats screen is available to Organisation R/W users and Super Users showing their organisation’s trial and paid seat status (active trials with days remaining, paid seats, trial expiry dates). Read-only, with a CTA to contact support for seat changes.
Course Assignment Permissions Tightened - Permission to assign AI-created training courses to staff/worker categories or sites is now restricted to higher-level roles (Account Owner, Organisation Manager, Super User), reducing the risk of accidental mass non-compliance from incorrect course assignments.
Clearer Editor Save Notification - The misleading green “Course content saved successfully” toast in the AI course editor has been replaced with a subtle blue draft-mode notification (“Draft changes saved — publish when ready to go live”), making it clearer that authors must Publish before changes go live to learners.
Super Users Notified on Trial Start - When a staff member creates their first AI-created course (starting the 30-day trial), all active Super Users in the same organisation now receive an email notification with the staff name, trial start/end dates, pricing context, and a link to Online Training.
