Overview
Offline Training gives you an all-in-one way to run in-person (face-to-face) training in ComplyFlow. From one place you can create and schedule Sessions, organise them with Courses, Labels and approved Training Providers, let people self-register, check Attendees in on the day with a QR Code, and report on attendance and completion alongside your Online Training.
Accessing Offline Training
To open the module, select Training from the left menu. The module brings your Offline (in-person) Sessions together with your Online Training records.
The permissions required to view and manage Offline Training are set under the Training module. Refer to Staff Permissions Overview for how to grant access.
Managing Courses, Labels and Training Providers
Courses
Before you can create a training session, you must first create a course. When setting up a Course you can apply a No Expiry option for Courses whose completion never lapses. Go to Training > Courses > Add Course.
Labels
Create your own Labels and apply them to Courses and Sessions, then filter your training lists by Label to find what you need. Labels are also included when you export your training data to CSV. Go to Training > Labels > Add Label.
Training Providers
Maintaining a list of approved Training Providers is optional. You can add and assign Training Providers to training sessions as needed. Go to Training > Providers > Add Provider.
Managing Training Sessions
A Session is a single scheduled instance of in-person training, linked to a Course, a Training Provider, dates, a location and a capacity.
Create a Session
1. In the Training Sessions list view, select Add Session.
2. Complete the session details:
Enter a Session Name (required)
Add a Description (optional)
Set the Status (required) — e.g. Confirmed
Set the Session Dates (required) — Date, Start time, and End time
Enter the Total Seats (required)
Enter a Price, if applicable
Enter the Venue, if applicable
Select the Sites/Projects the session applies to
Select the Course the Session delivers - see Managing Courses, Labels and Training Providers
Select any Labels to apply
Select the Training Provider
To let people register themselves, leave Allow Self Registration turned on (this is on by default), and choose either:
Open — any worker with access to the site can register, or
Invitees Only — only invited users can self-register.
Refer to Self-Registration for Sessions below.
3. Select Add Session.
Edit a Session
You can edit a Session at any time. Open the Session and select Edit Details, update the details, then select Save Changes.
Duplicate a Session
To set up a similar Session quickly, select Manage across a Session and choose Duplicate Session. A copy is created that you can adjust and save.
Link Sessions to Sites and Projects
Sessions can be tied to your Sites and Projects so that the right people see the right training. Set the relevant Site and/or Project when creating or editing the Session.
Session statuses and capacity
Each Session shows its current status at a glance and tracks how many seats remain, so you can manage capacity. A Session that still has seats available can have an invitation broadcast to eligible people (refer to Email Notifications below).
Automatic Session completion
Once a Session's scheduled time has passed, it is marked complete automatically and each Attendee's status is updated. Completed training is reflected on the relevant Staff User or Worker profile.
Cancelling a Session removes (nullifies) the recorded attendance for that Session. You are asked to confirm this twice before it is applied.
Self-Registration for Sessions
When Allow Self Registration is enabled on a Session, Staff Users and Workers can register themselves.
1. Go to Training > Sessions. Browse the available training Sessions.
2. Select a Session to view its details.
3. Go to Training > Register for Training > Register. Select Register for this Session to confirm a place.
4. To withdraw, open the Session and select Cancel Registration.
Capacity is managed as people register, so a Session cannot be over-filled through self-registration.
QR Code Check-In
Each confirmed Session has a QR Code that Attendees scan to check in on the day. You can view the QR Code on screen or print it as a PDF.
Generate and display the QR Code
Open the Session and select the option to view its QR Code. To print, select Print QR Code to generate a printable PDF you can display at the venue.
How Attendees check in
Already logged in: the person scans the QR Code and checks in with one tap.
Not logged in: the person scans the QR Code and checks in by entering their phone number. If the phone number matches a single profile, they proceed straight to check-in.
Walk-ins: people who turn up without registering can register as a Walk-In via the QR Code.
Visitors: people who are not ComplyFlow users can be recorded as Visitors, so the attendance list reflects everyone who actually attended.
The check-in page is only active around the Session's training day. If a Session has ended, the page shows a "session ended" message.
Email Notifications
The module keeps Attendees and organisers informed:
A confirmation email when someone registers for a Session
Reminder emails before the Session — one day before and one hour before
A notification to the Session creator when someone registers
An optional broadcast invitation to eligible people when a Session has seats available
Reporting and CSV Export
Offline Sessions appear alongside Online Training in a single, unified training report, including a Session list view and total Attendee hours.
To export, select Download CSV from the training report. The export includes the Labels applied to each item.
Training API
A secure API lets you pull Staff and Worker training history (both Online and Offline) into reporting tools such as Power BI. The API includes authentication, rate limiting and its own documentation.
