Summary
This release makes the staff dashboard load quickly again, adds plant and equipment detail throughout inspections, and stops key cabinet access staying open after a Worker signs out. It also fixes a number of screens that failed to load when a linked record had been deleted.
Dashboard
The alerts list loads far faster - The alerts list on the staff dashboard now loads quickly.
The dashboard no longer fails when a risk action's creator has been removed - If someone who created a Risk Register action has since been removed, the alerts list used to fail to load. It now loads normally and shows "Deleted user" in place of the missing name.
The dashboard now works properly on phones - Your profile photo in the top corner was showing as a squashed sliver, and alert cards were cut off at the right edge when an alert contained a long link. The photo is now a clean circle on every page, and alert text wraps inside the card so the buttons are fully visible.
Downloading the alerts list no longer shows a false error - Downloading the dashboard alerts as a CSV showed an error message even though the file downloaded correctly. The message no longer appears, and genuine loading problems are still reported as before.
Inspections
See which plant or equipment an inspection covers - The Inspections, Actions and Checklist Items lists now show an Item column naming the plant, vehicle or equipment the inspection relates to, and it also appears on the action detail panel. You can sort and search on it, it is included when you download the list, and it links straight to the item record if you have access to Plant & Vehicles.
Person responsible on inspection actions - Inspections no longer warn that a checklist action has nobody assigned when a name is clearly showing. Choosing a site keeps the assignment valid, a person who has since moved off the site is no longer dropped, actions assigned to a Worker are recognised, and new actions now default to the person carrying out the inspection.
Inspection schedules stay put when you save without changes - Saving a template's schedule now only rebuilds the upcoming inspections when you have actually changed something. Re-saving with no changes leaves your scheduled inspections exactly as they were.
Weekly reminder emails skip closed sites - The weekly Dashboard Reminder email no longer lists outstanding corrective actions for sites that have ended or been archived, so you stop getting reminders for work you can no longer reach. Those actions still appear on your dashboard, marked as inactive.
Change an inspection's program after it is created - Staff who can edit an inspection can now move it to a different inspection program from the inspection panel, instead of it being fixed at creation. Only programs from your own account can be chosen.
Know which checklist items are still being filled in - Checklist items on an inspection still under way on someone's device now show an "In Progress" marker instead of a blank dash, so it is clear the item has not been skipped. Downloaded checklist item lists now spell the result out in words.
Deleting an inspection action - Removing an action from an inspection now completes cleanly. The list refreshes on the spot, you get a confirmation message, and the error that used to appear straight after the delete is gone.
The inspection action panel now fits the screen - The activity list inside an inspection action no longer runs off the side of the panel, so you can read comments without scrolling sideways, and the area for adding a file is fully visible instead of being cut off.
Inspection actions jump back to the top - After you add an activity to a corrective action, the panel returns to the top so you can see the confirmation and the action's new status straight away.
"Import Actions" is now called "Import Inspection" - The menu item, button and panel used to upload a spreadsheet of inspection results have been renamed to match the help guide. Nothing about how the upload works has changed, but the blank template is now downloaded from a new link, so refresh any bookmark you saved to it.
The inspection actions export downloads in full - The CSV download on the inspection actions list now produces a complete file. Previously it could come through empty or cut short.
Plant inspections no longer fail to sync after a site sign-in changes - If a plant item's site sign-in status changed while an inspection was open on a device, syncing that inspection failed with "Failed to Update". It now syncs successfully and leaves the plant's site sign-in status as it is.
Scheduled inspections now match between web and mobile - The mobile Scheduled Inspections list now shows the same next 90 days of inspections as the web app, instead of a much longer list. Overdue inspections still appear.
Live Access
Site key access is now removed when a Worker signs out - When a Worker signs out with no keys outstanding, their access to the site's key cabinet is now removed, so an old User ID and PIN cannot be reused on a later visit. This applies however the sign-out happens, including the automatic overnight sign-out, with a regular background check to clear up anyone missed. Workers still holding a key are never removed.
Key approval no longer promises a text message that will not arrive - When a Worker is approved for site keys and already has a login for the key cabinet system, they are now told to use the User ID and PIN they were given before. Previously everyone was told to wait for a text message, which is only ever sent to first-time users.
False error message on the Signed-in Users list - The Signed-in Users list showed a red "could not be loaded" message above the table even though the list had loaded correctly. This happened whenever someone signed in without a work order attached. The list now loads without the false message.
Sites
A key cabinet connection problem no longer removes a site's settings - If the key cabinet system stops accepting a site's connection details, ComplyFlow now keeps those details and shows a clear warning on the site's Settings tab.
Delete a location from Site Access - Staff who can edit a site can now delete a location directly from Sites > Site Access > Locations. Deletion is permanent and also removes that location's sign-in history and related records, so it is refused while anyone is still signed in there.
A more reliable check when renaming a location - The check that stops a location being renamed while people are signed in there now always uses the correct day, so renames are allowed or blocked consistently regardless of the time of day.
Incidents
Injury details save reliably - Adding or editing an injury on an incident no longer fails when the injured person's date of birth is missing or incorrectly recorded.
Incident report downloads from notification emails work again - The Download Incident Report link in an incident notification email now opens the report first time. It used to fail with an error for organisations that do not use Security Groups, and on some email programs the link appeared to do nothing at all.
One less click to update a corrective action - Choosing Manage on a corrective action or investigation from the incident dashboard now opens it in a new tab with the Add Activity form already open, so you can record your update straight away instead of clicking through an extra screen.
Delete an investigation from the incident screen - You can now remove an investigation straight from the incident's details page, without opening it first. Corrective actions on the same page are also removed instantly now, instead of reloading the whole screen.
Sort the staff list in a notification group - Clicking a column heading in a notification group's staff list now sorts the list, including the Sites column. Before, clicking did nothing and the list always stayed in name order.
Forms
Form feedback reaches the contractor every time - Comments a reviewer leaves on a form question are now always sent when they choose Save & Request More Information. Some comments used to stay unsent, so the contractor never saw them and the form could not be approved.
Suppliers
Supplier pages open and respond properly for suppliers with a lot of history - The tabs on a supplier's page now load their information when you open each tab, so the page finishes loading, tabs no longer come up empty when they do hold records, and going back to the supplier list is quick again. The Linked Sites tab now has page controls so you can reach every site.
Staff
Staff records with a personal email address can be edited again - Updating a staff member's details no longer fails with a business-email error when their email address is a personal one and you are not changing it. Entering a new personal email address is still not accepted.
Uploading documents for a staff member behaves the same on both screens - The Upload Document(s) option on the staff list no longer switches itself off after you upload one document, so it matches what the staff member's own Documents tab allows. Where you do not have permission to upload, the button on the Documents tab is now shown greyed out with an explanation instead of being hidden.
Training
Training session attendee lists are now consistent - People who have since been removed from your organisation still appear on a training session's attendee list, showing their name with "(removed)" beside it instead of a blank row, and you can find them by searching. The attendee total on a session's details now matches the number shown on the sessions list.
Clearer confirmation messages when you create an online course - If your account already lets you assign courses to your people, the confirmation message no longer tells you to upgrade. The message also now correctly says a course was published, rather than newly created, when you had already started it earlier.
Course names with special characters now read correctly in expiry emails - The online training expiry reminder showed an ampersand in a course name as a stray code. It now shows the character exactly as it was typed.
AI Tools
Deleted form questions no longer appear in AI Tools - Questions you have deleted from a form stop showing against an AI agent, and the linked-question count is now correct straight away instead of needing the agent to be saved again. Entries for deleted questions are also no longer listed in the AI review request log.
Contractor App
The contractor dashboard loads again when linked records have been deleted - The dashboard's requirements list no longer fails to load when a permit refers to a permit type or person that has since been removed. The remaining requirements are listed as normal.
No more dead-end invitations when a Worker's email is already on file - Adding a Worker with an email address that already belongs to one of your Workers now links to that existing Worker instead of creating a duplicate and emailing a sign-up link that does not work.
"Share to a Client" removed from the Clients page - The Share to a Client button (Connect feature) and its pop-up no longer appear on the contractor Clients page, which also removes the error the Worker list produced when opened. The list of connected Clients is unchanged.
Connected Systems
Plant compliance reporting - Organisations that feed ComplyFlow data into their own reporting tools can now pull a complete compliance picture for each plant category, including items whose documents are still missing, and can also see which staff hold the operator competencies a plant category requires.
Plant sticker numbers now come through for contractor-owned items - Plant items owned by a contractor now return their Plant Sticker ID to connected systems. Previously the value came back blank even when a sticker number was recorded.
A clear answer when a supplier record cannot be found - Asking for a supplier that does not exist, or using a reference that is not valid, now returns a plain "not found" answer instead of a system error page, so the connected system can carry on.
Risk information requests always return a usable session key - When a request for risk register information is turned down because the user does not have permission, the reply now carries the session key needed to keep working, instead of an empty value that could stall a connected system.
Changes to Be Aware Of
The following changes may affect how some features work. Please review these if they apply to your organisation.
Site key access is removed when a Worker signs out - Workers can no longer reuse an old User ID and PIN on a later visit, and existing unused profiles are cleared as part of this release. Anyone who previously relied on credentials issued weeks earlier will need to be approved again.
The weekly Dashboard Reminder email will list fewer items - Outstanding corrective actions for sites that have ended or been archived are no longer included. The email itself is unchanged; it will simply be shorter than last week's.
Supplier pages load their tabs differently - Each tab on a supplier's page now loads when you open it, rather than everything loading at once, and the Linked Sites tab now has page controls instead of one continuous list.
Downloaded lists change shape - Inspection downloads gain an Item column where your account uses Plant & Vehicles, the Checklist Items result is now spelled out in words, and values in CSV files from list pages may look slightly different so they open safely in a spreadsheet. If you feed these files into another system, check it still reads them correctly.
Training session attendee numbers may increase - People who have been removed from your organisation now appear on a session's attendee list, so the total on a session's details matches the sessions list. No registration has changed; only what is shown.
The mobile scheduled inspections list now covers the next 90 days - The mobile app previously listed every scheduled inspection, sometimes up to two years ahead. It now shows the next 90 days, the same as the web app, and inspections that are already overdue still appear. If you read scheduled inspections directly into another system, it will now receive the next 90 days unless it asks for a longer period.
16-09-2026 AI Document Categories and Document Review
Summary
This release lets you set up and maintain your own document requirements, and introduces AI Document Review, which checks an uploaded document against the requirements you have set before it goes for approval.
Document Categories
Manage your own document categories - Set up and maintain the documents you require from Workers, Suppliers, staff and plant yourself, under Account Settings then Document Categories (Organisation R/W permissions required). Create a category, change it, deactivate it when it is no longer needed and bring it back later, without raising a support request.
Add standard documents from the Global Document Library - Search ComplyFlow's shared catalogue of standard document types and add as many as you need at once. Anything already added is marked so, and documents that arrive with AI review already set up are flagged before you add them.
Choose exactly who each document applies to - Assign a document to staff categories, Worker categories, Supplier categories or plant categories from a single screen. A people document can now also be required of anyone working in a given plant category, so operator competencies such as a forklift licence are set up the same way as everything else.
Decide who reviews each document - Send uploaded documents to a whole staff category for approval, or name the individual people who should review them. Whoever you choose sees the documents waiting for them on their dashboard.
Turn AI review on or off and write your own criteria - Switch AI review on for any category you created, then write the criteria each upload is checked against and the hints that help identify the document. For standard documents from the shared catalogue, ComplyFlow maintains the criteria for you and keeps them up to date.
Deactivating a category stops it being requested - Switching a document category off stops it being asked for and stops its reminders, while documents already uploaded against it stay visible. Switch it back on at any time.
AI Document Review
Documents are checked before you submit them - Where a document category has AI review switched on, uploading a document runs an automatic check against that category's criteria and shows you what passed and what did not before it goes for approval. You can accept the result, swap in a different file, or submit it anyway.
See what is happening while it runs - The upload panel shows each stage as it completes and lists the criteria being checked, rather than a blank loading symbol. Supported file types are JPEG, PNG and PDF, with up to 20 files and 60MB in a single upload.
Key details are read from the document - Expiry dates, the name on the document and document numbers are read for you, and you can correct the expiry date before submitting if it is not right.
Fix problems without starting again - If a document does not meet the criteria you can try again, replace the file, or upload it the ordinary way instead. If the document type cannot be determined, you choose the correct one yourself and the check runs again. Replacing a file starts a fresh check on its own, and earlier checks stay listed with their date and outcome.
Available wherever you work - Reviews can be started from the dashboard, from the Documents tab on a Worker, Supplier, staff member or plant item, and from the document lists. Uploading on someone else's behalf works the same way. Where a category does not have AI review switched on, uploading is unchanged.
Reviewers see the findings - When approving a document that has been checked, the reviewer sees which criteria passed, the expiry date read from the document alongside the one entered, and a recommendation. Documents with no AI check are unaffected.
Documents
New document lists for Suppliers, Workers and staff - Each now has its own list, reached from the Suppliers, Workers and Staff menus, where you can view a document, review and approve it, or upload on someone's behalf, according to the document's status and your permissions.
Uploading from a record's Documents tab is more reliable - The Upload option on a Worker, Supplier, staff or plant record no longer stops responding after you have searched, sorted, filtered or changed page on the documents list.
Workers
Worker document requests can be completed from the dashboard - Completing a Worker's document request from an alert on the dashboard failed. It now works from the dashboard the same way it does from the Worker's own Documents tab.
Staff
Reviewer name now shown when approving a staff document - The Approver Name field on the staff document review screen was blank while a document was still awaiting approval. It now shows the name of the person carrying out the review.
Configuration
Special characters in names are saved and shown correctly - Names containing characters such as "&" are now stored and displayed correctly for Worker categories, staff categories, plant categories, project roles and global document categories.
Validation messages are no longer repeated - Adding a document category showed every validation message twice. Each is now shown once.
Changes to Be Aware Of
The following changes may affect how some features work. Please review these if they apply to your organisation.
AI review will already be switched on for some document categories - AI Document Review is controlled for each document category under Account Settings. Any category that already has review criteria or hints recorded against it will have AI review enabled. For every other category an administrator can turn it on when they are ready.
HR and Sensitive document categories now apply the HR permission consistently - Staff who do not hold the HR permission can no longer download, remove or replace documents in a category marked HR or Sensitive, on plant, project and company documents. This makes those categories behave the same way everywhere. Check that the people who need access hold the HR permission before the release.
Criteria for standard documents are maintained by ComplyFlow - For document types added from the shared catalogue, the AI review criteria and hints are set centrally by ComplyFlow and kept up to date automatically. Criteria you write yourself apply to the categories you created.
The Workers and Staff menus have changed shape - Workers and Staff are now expandable menus containing a list and a documents view, and Suppliers gains a documents view. The screens you use are unchanged; some are now one level further down the menu.
Existing acceptance criteria text needs re-entering - Acceptance criteria were previously kept as a single block of text and are now recorded as individual criteria. If your organisation had criteria recorded against a category you created, re-enter them through the new criteria editor after the release.
