16-09-2026 Site Documents sharing via Public Link
Summary
This release lets you share a site document by link with people who do not have a ComplyFlow login. The link always opens the latest version of the document, and you can switch it off at any time.
Site Documents
Share a site document by link - Staff who can edit a site document can now create a link to it, from the Manage menu on the documents list or from the document's own panel. Anyone you send the link to can open and download the document without signing in to ComplyFlow, on a phone or a computer.
The link always opens the latest version - When you supersede a document, everyone holding the link sees the new version straight away. There is no need to send the link again.
Switch a link off at any time - Revoke link in the Share window turns the link off immediately. Anyone who opens it after that sees a message saying the link is no longer available, and the document can no longer be downloaded. Sharing the document again creates a different link, and the old one never works again.
See at a glance which documents are shared - Documents with a live link show a Shared marker in the documents list and on the document's own panel.
A clean page for the people you share with - The person opening the link sees your organisation's logo and name, the document name, and whether it is the current version or has expired. PDFs open straight on the page and can be read without downloading anything. An expired document still opens, with a warning that it may no longer be the current procedure.
Changes to Be Aware Of
The following changes may affect how some features work. Please review these if they apply to your organisation.
A share link ignores a document's visibility settings - Hide from Contractors, Display at Sign In and Restrict to Staff Category do not apply to anyone opening a share link. Holding the link is what grants access. Any staff member who can edit a site document can create one, so check who holds that permission before the release.
16-09-2026 Site Documents, Site Document Activity and Notifications
Summary
Suppliers can now be told when the site documents that apply to them change. You choose which documents are worth notifying about, and their administrators receive a single daily summary.
Site Documents
Choose which documents notify suppliers - When you add or edit a site document you can now choose whether the suppliers working on that site are told about it, using a new Notify option beside the existing Hide option. A document hidden from suppliers never triggers a notification.
Suppliers receive one daily summary - Supplier company administrators now receive a single daily email listing the site documents added or updated in the last 24 hours on the sites their workers are currently attending. The email groups documents by site, shows the category and version of each, and links straight to the document. Administrators receive one email covering everything, not one per document.
Changes to Be Aware Of
The following changes may affect how some features work. Please review these if they apply to your organisation.
Suppliers now receive a daily site document email - Supplier company administrators now get a once-daily email listing the site documents added or changed in the last 24 hours on sites where their workers are currently active. It is switched on for every organisation, and any site document that existed before this release counts as notifiable unless someone unticks it, so editing an older document will send mail. You control this per document, using the Notify Suppliers and Hide from Suppliers options when you upload or edit a site document.
16-09-2026 Documents List refactored (NCF)
Summary
Three new pages bring every supplier, worker and staff document together in one list each, so you can see what you hold, what is outstanding and what is about to expire without opening records one at a time.
Supplier Documents
All supplier documents in one list - A new Documents page under Suppliers shows every supplier company document across your organisation, with search, filters for supplier, status, category, expiry date and site, a downloadable CSV, and a preview panel that opens the file without leaving the page.
See which documents are still missing - The list also shows documents a supplier is required to provide but has not uploaded yet, marked Pending Upload, so gaps are visible alongside the documents you already hold.
Superseded expired documents no longer prompt for upload - Where a document category already holds a current approved document, its older expired versions no longer show an Upload button, and hovering the Expired label explains which approved document replaced it and when that one expires.
Worker Documents
All worker documents in one list - A new Documents page under Workers lists every worker document across all your suppliers, including documents still outstanding, so you no longer have to open workers one at a time. Filter by worker, status, category, expiry date or site, and preview or download without leaving the page.
Workers menu - Workers in the sidebar now opens into two items, Workers List and Documents. The workers list itself is unchanged.
Staff Documents
All staff documents in one list - A new Documents page under Staff lists every staff document across your organisation, with the same search, filters and preview panel. Selecting a document opens a side panel showing its upload and approval details.
Staff menu - Staff in the sidebar now opens into two items, Staff List and Documents.
All Documents Lists
Filters apply when you close them - Tick as many options as you like in a filter; the list updates once, when you close the dropdown.
The category filter only offers what it can find - The Document Category filter offers only categories that can actually return a result, so a filter choice never comes back unexpectedly empty.
Review matches approval rights - The Review button appears only to people who can approve that document category, with a tooltip explaining why it is unavailable to everyone else. The supplier and worker approval alerts on the Dashboard follow the same rule.
Clearer document review - The expiry options in the review panel are now strictly either or, so Approve and Conditionally Approve always go through, and approving, conditionally approving or rejecting a document now shows a confirmation message.
Documents
Keyboard zoom in document previews - Ctrl with plus, minus or zero now zooms a document preview in, out or back to 100%, everywhere a document preview is shown.
Upload dialog recovers from errors - When a document upload fails on a Supplier, Worker or Plant Documents tab, the Upload button is re-enabled so you can correct the problem and try again without closing the dialog.
Changes to Be Aware Of
The following changes may affect how some features work. Please review these if they apply to your organisation.
The following changes may affect how some features work. Please review these if they apply to your organisation.
Restricted documents on worker and staff records - Viewing a document in a Restricted category on a worker or staff record now requires the Restricted Details permission, matching how supplier records already work.
Keyboard zoom while a preview is open - While a document preview is open, Ctrl with plus, minus or zero now zooms the document instead of the whole page. This applies to the document previews on supplier, worker, staff and plant records as well as the new documents lists.
Outstanding documents are hidden when you filter by site or expiry date - The documents lists show documents that have not been uploaded yet, marked Pending Upload. Choosing a Site filter or an Expiry Date range hides those rows, because an outstanding document has no expiry date and no site of its own. Clear those two filters to see what is still missing.
