21-06-2026 Offline training refactored

Summary

Offline Training gives you a modern, all-in-one way to run in-person training: create and schedule sessions, organise them with courses, labels and approved providers, let people self-register, check attendees in on the day via a QR code, and report on attendance and completion alongside your online training. As a Beta, it is available for early use - we welcome your feedback while we continue to refine it.

Offline Training - New Module

  • A New Way to Manage In-Person Training - A completely rebuilt Offline Training module is now available. From one place you can create and schedule training sessions, manage who attends, check people in on the day, and see attendance and completion in your training reports.

Session Management

  • Create, Edit and Duplicate Sessions - Create training sessions with a course, training provider, dates, location and capacity, edit them at any time, and duplicate an existing session to quickly set up a similar one.

  • Sessions Linked to Sites and Projects - Sessions can be tied to your sites and projects, so the right people see the right training.

  • Automatic Session Completion - Once a session's scheduled time has passed, it is automatically marked complete and each attendee's status is updated.

  • Clear Session Statuses and Capacity - Sessions show their current status at a glance and track remaining seats so you can manage capacity.

Self-Registration & QR Code Check-In

  • Browse and Self-Register for Sessions - Staff and workers can browse available training sessions, view the details, register themselves, and cancel a registration if their plans change.

  • QR Code Check-In on the Day - Each confirmed session has a QR code (viewable on screen or as a printable PDF). Attendees scan it to check in. People who are already logged in check in with one tap; people who are not logged in can check in by entering their phone number.

  • Walk-In and Visitor Attendance - People who turn up on the day can register as a walk-in via the QR code, and non-system guests can be recorded as visitors - so the attendance list reflects everyone who actually attended.

Courses, Labels & Training Providers

  • Course Management with a "No Expiry" Option - Manage offline training courses, including a "No Expiry" option for courses whose completion never lapses.

  • Organise Training with Labels - Create your own labels and apply them to courses and sessions, then filter your training lists by label to find what you need.

  • Approved Training Providers - Maintain a list of approved training providers and assign them to sessions.

Reporting & Export

  • Offline Training in the Unified Training Report - Offline sessions appear alongside online training in a single training report, with a session list view and total attendee hours.

  • CSV Export with Labels - Export your training data to CSV, including the labels applied to each item.

Email Notifications

  • Registration and Reminder Emails - The module keeps attendees informed: a confirmation email when they register, reminder emails before the session (one day and one hour before), and a notification to the session creator when someone registers. You can also broadcast an invitation to eligible people when a session has seats available.

Training API

  • Training Data Available via API - A secure API lets you pull staff and worker training history (online and offline) into reporting tools such as Power BI, with authentication, rate limiting and documentation.
